SEIDOR is seeking an EU Tender / Bid Coordinator to support the preparation and submission of tenders for European Institutions and public-sector clients. The role focuses on ensuring bids are complete, compliant and submission-ready, with responsibility for selection criteria, project references, CVs and supporting evidence.

  • This role requires 2–5 years of EU/public-sector tendering or bid coordination experience.
  • Experience analysing tender requirements and selection criteria.
  • Experience handling CVs, project references, certificates and declarations.
  • Strong document analysis and attention to detail is essential.
  • Ability to assess compliance and identify missing or contradictory information.
  • Excellent organisational skills to manage multiple tenders and deadlines.
  • Proficient in Microsoft Excel and Word; familiarity with SharePoint.

Responsibilities

  • Analyse tender specifications, selection criteria and submission requirements.
  • Prepare compliance matrices, checklists, bid plans and requirement summaries.
  • Analyse project reference and past-performance requirements (scope, value, duration).
  • Coordinate with SEIDOR units, delivery teams and stakeholders to gather docs.
  • Review consultants against tender requirements (experience, education, certificates).
  • Prepare, standardise and quality-check CVs (Europass format).
  • Identify missing certificates or declarations and coordinate collection.
  • Assess internal vs external delivery capabilities for required profiles.
  • Maintain tender documentation, version control and submission readiness.
  • Ensure consistency across CVs, references and supporting evidence.
  • Perform final quality and compliance checks before submission.
  • Follow up with internal teams, partners and subcontractors to meet deadlines.

About the role

At SEIDOR, we are looking for an EU Tender / Bid Coordinator to support the preparation and submission of tenders for European Institutions and public‑sector clients.

The role will focus on ensuring that bids are complete, compliant and submission‑ready, with particular responsibility for selection criteria, project references, CVs, supporting evidence and tender documentation.

We are looking for someone highly organised and detail‑oriented, with strong analytical skills and the ability to coordinate multiple stakeholders and deadlines in an international environment.

Key responsibilities
  • Analyse tender specifications, selection criteria and submission requirements.
  • Prepare compliance matrices, checklists, bid plans and requirement summaries, identifying potential gaps or risks early.
  • Analyse project reference / past‑performance requirements, including scope, contract value, duration, complexity and eligibility.
  • Identify suitable internal projects and contracts to support selection criteria and prepare the corresponding reference forms and evidence.
  • Coordinate with SEIDOR business units, Delivery teams and internal stakeholders to gather the required information and documentation.
  • Review proposed consultants against tender requirements, including professional experience, education, certifications and languages.
  • Prepare, standardise and quality‑check CVs, primarily in Europass format, for tender submission.
  • Identify missing certificates, declarations or supporting evidence and coordinate their collection.
  • Assess whether the required technical profiles, expertise and delivery capabilities are available internally or need to be sourced externally.
  • Maintain tender documentation, version control, traceability and submission readiness.
  • Ensure consistency across CVs, references, declarations, technical forms and supporting evidence.
  • Perform final quality and compliance checks before submission.
  • Follow up proactively with internal teams, partners and subcontractors to ensure deadlines are met.
What we are looking for
  • 2–5 years of experience in EU/public‑sector tendering, bid coordination, bid management, procurement support or a similar environment.
  • Previous experience analysing tender requirements and selection criteria.
  • Experience working with CVs, project references, certificates, declarations and supporting documentation.
  • Strong document analysis and attention to detail.
  • Ability to assess compliance and clearly identify missing or contradictory information.
  • Excellent organisational skills and ability to manage multiple tenders and competing deadlines simultaneously.
  • Strong working knowledge of Microsoft Excel and Word.
  • Experience with SharePoint or similar document‑management environments.
  • Strong written and spoken English.
  • Confidence communicating with internal teams, senior stakeholders, partners and external contributors.
  • Previous experience working in the IT sector or within technology‑related environments will be considered a strong advantage.
Nice to have

Experience with EU Institutions, Agencies or Bodies, framework contracts, Europass CVs, public procurement procedures or large international consortium bids would be a strong advantage.
