About the Role
As a CBRE Receptionist, you will be the first point of contact for everyone arriving at our client Johnson Controls in Holme, Aarhus. You will work in a busy environment where no two days are the same, meeting employees, visitors, customers, and suppliers from Denmark and abroad.
This job is part of the Workplace Experience function, responsible for delivering a welcoming, safe, and well-run front-of-house service on the client site.
It is important to be aware that the role is split roughly in half. You should expect to spend around 50% of your working time at the reception desk, and the remaining 50% in Internal Service, where you will handle tasks such as producing access cards, managing post and shipments, restocking office supplies, and assisting with print jobs.
The role is full time, Monday to Friday, and reception is covered by a shift rota together with your colleagues. Alongside these duties, you will be flexible and hands-on, supporting the internal team with a range of tasks around the premises. You will be trained on site by your current colleagues, who know the site, the systems, and the client well.
What You'll Do
Reception (approx. 50% of your time)
- Welcome and register employees, visitors, customers, and suppliers, and ensure a professional and friendly first impression of the site.
- Manage the reception desk during your shift, including the main telephone line, the shared mailbox, and general enquiries.
- Make sure visitors receive the required site safety information on arrival.
- Keep reception, meeting rooms, and shared areas tidy, well stocked, and presentable.
- Support site safety and emergency procedures, including visitor evacuation lists and reception's role in an emergency.
Internal Service (approx. 50% of your time)
- Produce and administer access cards and visitor badges, and maintain the related registers.
- Handle post, parcels, and outgoing shipments, and coordinate with couriers and suppliers.
- Order and restock office supplies and consumables across the site.
- Assist with print jobs and related tasks, and support colleagues with the print and copy equipment.
- Support the facilities team with day-to-day administrative tasks, such as registering work orders and maintaining site documentation.
- Work flexibly with the internal on-site team, taking on other practical tasks around the premises as the day requires.
- Follow standardized procedures and practices and raise issues to the right colleague when something needs to be escalated.
- Impact the team through the quality of the service and information you provide to colleagues and to the client.
What You'll Need
- Relevant experience from reception, front of house, internal service, hospitality, customer service, or a similar role where you have dealt with many people every day.
- Professional working proficiency in Danish and English, both written and spoken. Additional languages are a strong advantage on this international site.
- A service-minded, welcoming, and calm approach, with the ability to handle many different people and requests at the same time.
- Willingness to work full time, Monday to Friday, on a shift rota covering reception opening hours.
- Comfort with a role where around half of your time is spent away from the reception desk on practical Internal Service tasks.
- Flexibility and a practical mindset - you are happy to step in and help the on-site team with other tasks around the premises.
- Strong organisational skills with a robust, inquisitive mindset, and the ability to prioritise in a busy environment.
- Good knowledge of Microsoft Office products, for example Word, Excel, and Outlook, and confidence with everyday office equipment such as printers and copiers.
- Ability to explain detailed information within the team in a clear and concise manner, and discretion when handling confidential information.
- A collaborative attitude - you will be trained by your colleagues on site and will share your own knowledge in return.
