Job summary

Idéa Nordic in Copenhagen is seeking an Event Coordinator to support the Sales Director and Project Managers in delivering memorable events. You will help prepare proposals, develop budgets, and coordinate multiple tasks leading up to events.

The ideal candidate has 2–3 years’ experience, a sales and service minded mindset, and a drive for accuracy and on-time delivery. Proficiency in Word, Excel, PowerPoint and experience with proposal software are required or a plus.

Qualifications

  • Based in Copenhagen with English and Danish language requirements.

Responsibilities

  • Support the Sales Director to create proposals and budgets using standard templates.
  • Review RFPs and summarise key points, collaborating with Sales Director and Project Managers.
  • Assist with developing a SoMe plan and create, update, upload content.
  • Coordinate with suppliers, source and review quotes, and confirm bookings for events.
  • Support Project Managers with lead-up coordination and detailed event schedules.

Job description

We are expanding our team and looking for our new Event Coordinator based in Copenhagen.

You will support the Sales Director to complete proposals for our clients. You will also support the Project Managers to prepare and deliver events. 2-3 years’ experience is preferred, but more important is a sales and service minded attitude, and a determination to complete tasks with accuracy and on time. You must have a working knowledge of Microsoft programs including, Word, Excel, and PowerPoint, and experience using proposal software is a plus.

We are a passionate team with a drive to create memorable experiences. We do this by researching and understanding our clients and supporting them along the way. We are looking for a coordinator to support our team that can provide clarity, when there are multiple tasks and options to choose from.

We are a creative and values driven team who inject our colourful mindset into everything we do. We work 4-days a week. You will utilise AI to streamline processes, so that our team can spend more time working with our clients. We work both smarter and harder, which means that most days are never the same. As a result, we need a new team member that enjoys variety in their work and can jump in and get things done.

The role includes:
  • Support the Sales Director to create proposals using a proposal software program, as well as budgets using standard templates
  • Review RFPs (Request for Proposals) and summarise the key points, and develop a solution in collaboration with the Sales Director and Project Managers
  • Assist with developing a SoMe plan for social media channels, and create, update and upload content
  • Contact an existing network of suppliers to determine their availability to assist with the event or multiple day programs
  • Source, compare and review quotes from suppliers
  • Confirm bookings with suppliers and ensure successful delivery of events and services
Event Coordination
  • Support the Project Managers with coordination of multiple tasks in the lead up to events
  • Utilise existing templates to develop detailed event schedules and other key deliverables for events
  • Assist the team to run successful events
Languages
  • Native or Bilingual English and Danish are required
  • Swedish or German are a plus.
