Job summary

STARK Defence is seeking a seasoned professional to lead end-to-end order processing, from data entry in the ERP to final delivery, ensuring exceptional customer satisfaction and precise logistics. As a Senior team member, you will help design and implement scalable operational processes from scratch, establishing workflows and best practices.

You will collaborate with Sales, Logistics, and ERP teams to drive efficiency and meet stringent delivery terms for national and international clients,

Qualifications

• Senior experience building and optimizing customer operations or supply chain processes.
• ERP systems knowledge (SAP SD, MS Dynamics) and Incoterms understanding.
• 4+ years in internal sales, order management, or customer service.

Responsibilities

• Design and implement customer operations and order-management workflows from the ground up.
• Drive continuous improvement of internal systems and tools; enable cross-functional alignment between Sales, Logistics, and ERP.
• Enter, review, and process incoming customer orders in the ERP system.
• Oversee the full order lifecycle in ERP with warehouse and logistics teams.
• Provide proactive customer service and communication for domestic and international clients.
• Manage claims and credit notes; coordinate issue resolution with cross-functional teams.
• Apply Incoterms and ensure adherence to contractual delivery conditions.

Your Mission

Drive seamless end‑to‑end order processing—from entering order data into the ERP system to final product delivery—while ensuring high customer satisfaction and maintaining precise logistics standards. As a Senior team member, you will play a key role in building and structuring end‑to‑end operational processes from scratch, establishing clear workflows and best practices to drive scalability and efficiency.

Responsibilities

• Process Design & Implementation: Build and standardize customer operations and order‑management workflows from the ground up, identifying efficiency gaps and establishing scalable SOPs.
• Operational Leadership: Drive the continuous improvement of internal systems and tools, setting up robust frameworks for cross‑functional alignment between Sales, Logistics, and ERP architecture.
• Sales Order Creation & Validation: Independently enter, review, and process incoming customer orders in the ERP system.
• Order Fulfillment Monitoring: Oversee the entire order lifecycle within the ERP system in close coordination with warehouse and logistics teams.
• Customer Service & Communication: Proactively support domestic and international clients regarding delivery schedules, order modifications, and commercial inquiries.
• Claims & Credit Note Management: Handle customer complaints, coordinate issue resolution with cross‑functional teams, and issue credit notes.
• Trade Terms & Logistics Compliance: Apply appropriate Incoterms and ensure adherence to contractual delivery conditions throughout execution.

Required Skills

• Senior‑Level Experience: Proven track record of building and optimizing customer operations or supply chain processes from scratch in a fast‑paced environment.
• Education: Completed commercial training or apprenticeship (e.g., in industrial trade, wholesale, or foreign trade) or an equivalent qualification.
• Experience: 4+ years of relevant experience in internal sales, order management, or customer service.
• Technical & Domain Expertise: Practical experience with ERP systems (e.g., SAP SD, Microsoft Dynamics) and a solid understanding of Incoterms.
• Key Competencies: Strong communication skills, a service‑oriented mindset, reliability, and the ability to work independently.
• Languages: Business fluency in German and English (both written and spoken) to support national and international clients.
