- Manage the end-to-end order processing cycle, from receipt of customer orders through delivery and invoicing, using SAP.
- Enter and maintain sales orders, purchase orders, delivery information, and other relevant data accurately in SAP.
- Issue sales invoices and process/book incoming supplier invoices.
- Monitor accounts-related documentation and coordinate with the Finance team when clarification or correction is required.
- Maintain accurate inventory records, monitor stock levels, and support inventory planning and replenishment.
- Manage and update sales forecasts, purchase forecasts, and expected delivery schedules in coordination with the Sales team.
- Coordinate domestic and international import/export shipments, including communication with suppliers, customers, freight forwarders, warehouses, and customs-related service providers. Prepare and review shipping and trade documentation, such as invoices, packing lists, delivery notes, and other import/export documents.
- Arrange transportation by road, air, sea, or courier depending on business requirements. Monitor freight schedules, lead times, and shipment status to ensure on-time delivery. Identify potential delivery delays or supply issues and proactively coordinate corrective actions with relevant parties.
- Review transportation costs, obtain freight quotations, and negotiate with logistics providers where appropriate.
- Support the optimization of logistics processes, transportation routes, inventory levels, and operational costs.
- Manage delivery schedules and maintain close communication with customers regarding order status and delivery arrangements. Handle shipment-related issues, including damaged or lost cargo, and coordinate insurance claims and corrective actions.
- Act as an operational point of contact between customers, suppliers, Sales, Finance, warehouses, and logistics providers.
- Support Sales Managers with customer-related administrative and operational activities. Assist with the launch and operational setup of new business projects, including establishment of order flows, logistics arrangements, inventory structures, SAP processes, and internal procedures.
- Maintain accurate master data and business records within SAP and other internal systems. Support internal reporting and prepare operational data and analysis using Excel.
- Follow company procedures and applicable requirements relating to import/export, product handling, compliance, and internal controls.
- Identify opportunities to improve operational efficiency and proactively propose process improvements.
Required Skills and Qualifications
MUST
- Advanced proficiency in Microsoft Office, particularly Excel, including the ability to work confidently with formulas, data analysis, lookup functions, and large datasets.
- Experience working in an English-speaking or international business environment.
- Business-level English, both written and spoken.

- Ability to work with ERP systems; experience with SAP is strongly preferred.

- Experience working for a trading company, chemical company, manufacturer, or B2B distribution business.
- Knowledge of international trade and logistics processes, including Incoterms, import/export procedures, freight forwarding, and customs documentation.
- Experience managing inventory and demand/sales forecasts.
- Experience handling international shipments within Europe and between Europe and other regions, particularly Asia.
