Job Description
We are looking for an experienced project coordinator to support our projects team on a life science site in Düsseldorf. You will provide comprehensive and flexible administrative support to the Head of Projects and the Projects team.
The right individual will need to be based on site in Düsseldorf 3 to 4 days a week.
Key Responsibilities
- Ensure business policies and processes are effectively communicated and implemented within the Projects team.
- Ensure the provision of healthy and safe working conditions and that clients and company health and safety policy and processes are implemented across the Business Unit.
- Manage all QHSE online reporting, including Hazards, SmoWP, and Audits.
- Complete the Audit Schedule each year.
- Maintain updated staffing structures on all contracts as requested.
- Provide ad‑hoc event management support upon request.
- Manage diary and email for the Head of Projects.
- Arrange ad‑hoc travel for the Head of Projects.
- Collaborate with other Operational managers to develop the business, support effective team working, and provide support to colleagues.
- Provide guidance, advice, coaching and support to other Project Coordinators within the business, delivering best practice training, assessment and recognition/reward.
- Deliver effective business communication through advice, review and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and ad‑hoc reporting and other publications.
- Provide a learning environment and appropriate training and development planning; ensure basic training needs are delivered so employees are competent to undertake their roles and can reach their full potential.
- Assist with all sales opportunities for the Business Unit and support the Sales Team throughout the sales process.
- Ensure the completion of all Pre‑Qualifying Questionnaires for the Business Unit.
- Arrange all sales calls with Senior Team members on an ad‑hoc basis.
- Work with subcontractors and Heads of Projects to ensure the best price for all sales opportunities.
- Support mobilisation as and when required.
Key Skills
- Strong communication skills, both verbally and written, in German and English.
- Accurate administration of all paperwork generated at office level.
- Highly efficient in Microsoft Outlook, Excel and Word.
- Able to work within a busy office environment and support office teams to ensure smooth day‑to‑day activity.
- Quickly find and obtain information and documents.
- Excellent attention to detail.
- Fast learner of new in‑house systems.
