Job Summary
We are seeking a proactive and detail-oriented HR & Admin Assistant to support the daily operations of the Human Resources department. The successful candidate will assist with recruitment, employee onboarding, personnel administration, and HR documentation while ensuring a positive employee experience and efficient HR processes.
Job Responsibilities
Human Resources
- Assist with the full recruitment process, including job posting, resume screening, interview scheduling, and candidate communication.
- Support employee onboarding, probation confirmation, internal transfers, and offboarding procedures.
- Maintain and update employee records to ensure personnel information is accurate and complete.
- Assist in preparing and managing employment contracts and other HR documentation.
- Track employee attendance, overtime, leave records, and other HR-related data.
- Support payroll preparation by collecting and verifying attendance and payroll-related information.
- Assist in organizing employee training sessions, team-building activities, and employee engagement programs.
- Respond to employees' daily HR inquiries and help maintain positive employee relations.
Administration
- Handle daily office administrative tasks and maintain a well-organized office environment.
- Manage office supplies, inventory, and fixed assets.
- Coordinate incoming and outgoing mail, courier services, and document management.
- Arrange meetings, prepare meeting materials, and take meeting minutes when required.
- Assist in vendor management, office expense administration, and reimbursement processes.
- Support office facilities management and liaise with property management and external service providers.
- Complete other HR and administrative tasks assigned by management.
Qualifications
- Bachelor's degree or above in Human Resources, Business Administration, Management, or a related field.
- At least 2 year of experience in HR and/or administrative support; outstanding fresh graduates are also welcome to apply.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Detail-oriented, responsible, and well-organized with strong communication and coordination skills.
- Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
- Strong teamwork, learning ability, and execution skills.
- Good English communication skills are preferred, especially in an international working environment.
Preferred Qualifications
- Experience in logistics, warehousing, transportation, or cross-border e-commerce industries.
- Familiarity with local labor laws and HR administration processes.
- Experience using HRIS systems such as SAP, Workday, or SuccessFactors is an advantage.
- Fluent in spoken German and English, Chinese language skills are a plus.
