About us:
CALIMA is a Berlin-based B2B SaaS startup with a mission to make workplace safety simpler, more reliable, and more effective through digital and innovative solutions. Our software helps companies ensure that lone workers receive assistance quickly in an emergency. CALIMA is used by hundreds of companies and protects thousands of employees every day.
We are a small, ambitious team with high standards for quality. We take a solution-oriented, product-focused approach and have short decision-making chains. We’re looking for people who take responsibility, contribute ideas, and actively improve our processes.
Your role:
As we grow, the demands on our HR operations are also increasing. That is why we at CALIMA are creating our first standalone HR position.
As an HR Manager, you will oversee and be responsible for our operational and strategic HR processes throughout the entire employee lifecycle, working 20 to 32 hours per week. You will ensure professional HR processes, serve as a trusted point of contact for employees and managers, and actively drive the development of our HR initiatives.
You’ll work closely with our founders and independently build HR structures that grow alongside us.
Your tasks:
People Operations & Payroll
- You will manage our operational HR processes throughout the employee lifecycle—from onboarding to offboarding, including personnel administration and the management of contracts, compensation, and absences.
- You will coordinate the monthly payroll processing in collaboration with our tax consulting firm and handle all related HR matters.
- You will ensure smooth, reliable HR operations and continuously improve our administrative processes.
Talent Acquisition & Recruiting
- You will design and optimize our entire recruiting process, from planning staffing needs and creating job descriptions to successful hiring.
- You will develop proactive recruiting strategies, identify suitable talent through active sourcing, and build a relevant talent pool over the long term.
- You’ll guide candidates through the selection process, conduct interviews, and work with hiring managers to optimize our recruiting processes and the candidate experience.
- You will analyze relevant recruiting metrics and use them to develop strategies to improve the quality and efficiency of our hiring process.
Employee Relations & Labor Law
- You are the first point of contact for employees and managers regarding HR-related questions, changes, and conflicts.
- You will assist with complex HR issues such as performance reviews, conflicts, and measures related to labor law, and coordinate their fair and professional implementation.
- When dealing with complex labor law issues, you’ll work closely with our external labor law counsel.
People & Culture
- Together with senior management, you’ll develop our People & Culture strategy and shape a corporate culture that grows alongside us.
- You will strengthen feedback processes, employee development, and collaboration; support managers; and use employee feedback to identify specific improvement measures.
- You will develop initiatives to foster employee retention and a positive employee experience, and help organize internal programs and team-building events.
HR Systems, Policies, and Processes
- You will manage and optimize our HR systems (e.g., Personio, JOIN), automate workflows, and develop scalable HR processes.
- You will develop and maintain internal HR policies and oversee the implementation of relevant legal and regulatory requirements.
- You’ll help drive the continued development of our HR benefits.
- You will compile relevant HR metrics and assist management with workforce planning.
What you bring with you:
- You have several years of HR experience (typically 5+ years) in a generalist HR role and have already taken independent responsibility for HR processes and helped develop them further.
- You have extensive experience in HR administration and payroll preparation, as well as a solid foundation in German labor law.
- You are confident in handling complex HR issues and communicate with empathy, clarity, and respect with employees and managers.
- You have experience in recruiting, manage application processes independently, and are interested in active sourcing and further developing our talent acquisition efforts.
- You have extensive experience working with HR systems; experience with Personio, JOIN, or similar tools is particularly helpful.
- You enjoy actively shaping People & Culture, challenging existing structures, and developing appropriate solutions for a growing company.
