About the role

This is a highly visible and central role with broad exposure across the business. You will act as a trusted partner to senior leaders while serving as a key point of contact for the Frankfurt office, helping to ensure smooth day-to-day operations and an exceptional workplace experience to our employees.

The role requires strong coordination skills, sound judgement, and the ability to manage multiple priorities in a fast-paced international environment. You will be instrumental in driving administrative excellence, supporting local office operations, and fostering a professional and collaborative office culture.

Key responsibilities

  • Provide proactive administrative and operational support to senior leadership across scheduling, prioritization, and planning activities.
  • Manage complex calendars and coordinate meetings across multiple stakeholders, locations, and time zones.
  • Support the planning and execution of internal and external meetings, conferences, and events.
  • Maintain effective communication and coordination across a global and cross-functional organization.
  • Identify opportunities to improve workflows and administrative processes through digital tools and AI capabilities.
  • Provide flexible support across evolving business priorities and operational needs.
  • Operational support around the local corporate entity Urban Partners GmbH, and close collaboration with ManCo Finance.

Office Management Responsibilities

  • Take ownership of the day-to-day operations of the Frankfurt office, ensuring a professional, welcoming, and well-functioning workplace.
  • Act as the primary point of contact for office vendors, suppliers, and building management.
  • Coordinate office facilities, equipment, supplies, and workplace services.
  • Support onboarding and workplace set-up for new employees and visitors.
  • Help create and maintain a positive office culture through coordination of team activities, local events, and employee engagement initiatives.
  • Role involves collaboration with Head of Office Services and Office Manager Munich
