Role Overview
We are seeking a sharp, reliable, and exceptionally organized Executive Assistant to support both company leadership and a growing client base.
This is a high-impact, hybrid position combining executive administrative support with client-facing coordination. You will keep leadership organized and operations running smoothly while serving as a first point of contact for client inquiries.
The ideal candidate is proactive, detail-oriented, and polished, with the ability to communicate professionally with compliance and risk professionals at U.S. financial institutions. You should be comfortable taking full ownership of your responsibilities, working independently without constant direction, and ensuring no critical detail falls through the cracks.
Key Responsibilities
Executive & Administrative Support
- Provide day-to-day administrative support to the founding and leadership team.
- Manage executive calendars, coordinate complex meetings across multiple time zones, and organize commitments.
- Attend internal and client meetings to take detailed notes, document action items, and track follow-ups through completion.
- Assist with executive email triage, general communication organization, digital file maintenance, and recurring operational workflows.
- Conduct research, data entry, light bookkeeping-related administrative support (e.g., invoice tracking), and special projects as assigned.
- Proactively anticipate administrative needs to keep leadership focused on core business priorities.
Client Support & Onboarding Coordination
- Serve as the primary first point of contact for client inquiries via email and designated support channels.
- Triage incoming requests, resolve routine questions independently, and elevate technical issues with full context to the appropriate team member.
- Support new client onboarding by managing account setup, document collection, data entry, and deliverable tracking.
- Assist in formatting and preparing questionnaires, reports, templates, and client-facing materials.
- Maintain high responsiveness and clear communication to keep clients informed throughout support and onboarding workflows.
CRM & Data Management
- Maintain accurate, up-to-date client records and interaction logs within the CRM.
- Track open client items, deliverables, and outstanding action items.
- Ensure data hygiene across administrative and client support systems.
Operational Support
- Assist in documenting internal processes and refining administrative workflows as the company scales.
- Proactively identify missing information, process bottlenecks, or outstanding tasks before they escal

- Take ownership of evolving operational projects to support company growth.
Qualifications & Skills
Required
- Experience: 2+ years of professional experience in executive assistance, administrative support, client success, or customer support.
- Communication: Native or near-native written and spoken English with a polished, professional tone suitable for U.S.-based financial services clients.
- Organization: Exceptional organizational skills, high attention to detail, and a proven ability to manage multiple open workstreams simultaneously.
- Autonomy: Strong self-starter capability with sound judgment on when to resolve issues independently versus when to elevate.
- Technical Proficiency: Mastery of Google Workspace (Gmail, Calendar, Docs, Sheets).
- Work Environment: Dedicated, quiet remote workspace with reliable high-speed internet.
- Availability: Full-time availability aligned with U.S. business hours.
Preferred
- Direct experience supporting founders, C-suite executives, or senior leadership in a fast-paced environment.
- Background in a SaaS, tech startup, fintech, banking, lending, insurance, or GRC company.
- Previous experience managing client onboarding or support channels using CRM and help desk software.
- Familiarity with AI productivity tools and modern work-automation applications.
