Collectors Universe is seeking a Candidate Experience Lead to join the Talent Acquisition team in Frankfurt, Germany. You will ensure an excellent candidate experience, manage the recruitment lifecycle, and coordinate interview logistics across multiple teams on a global scale.

You will report to the Senior Program Manager, People Operations, and be onsite 5 days per week. German and English fluency, strong writing and organizational skills, and a proactive problem-solving approach are essential.

Qualifikationen

• 1–3 years in service-oriented or customer-facing roles, plus 1+ year in a professional setting.
• Interest in talent acquisition or human resources; coordinating or recruiting experience is a plus.

Aufgaben

• Own end-to-end coordination of recruiting lifecycle with recruiters.
• Advance candidates through pipelines; prioritize, troubleshoot, and escalate as needed.
• Schedule interviews (virtual and on-site) and collect feedback.

• Understand the organization to coordinate interview loops and candidate experiences.
• Own communication from initial outreach to interview coordination at Collectors Universe offices.

• Identify opportunities for process improvements and practical solutions.
• Partner with leadership to define the coordination function and strategic projects.
• Support Germany-specific hiring and pre-employment processes; ensure GDPR compliance.
• Coordinate required documentation for international candidates.
• Arrange onsite interviews and logistics with local teams.

We’re looking for a Candidate Experience Lead to join the Talent Acquisition team. In this role, you will provide an excellent candidate experience and will be responsible for the seamless execution and management of our recruiting lifecycle, including owning candidate and stakeholder communication, interview scheduling and coordination, application tracking system and data management for your pipelines, and process improvements. You'll be embedded within the Talent Acquisition team, working with hiring managers across our variety of teams as the candidate advocate for every person interviewing at Collectors. You’ll coordinate each step of a candidate’s interview cycle from start to finish, ensuring a smooth, professional, effective, and high quality interview experience for all candidates. You’ll report to the Senior Program Manager, People Operations and will be based in Frankfurt, Germany. Onsite Requirement: This role requires you to be onsite in the office 5 days per week.

What You’ll Do:

• Own end-to-end coordination and execution of recruiting lifecycle in partnership with recruiters
• Take responsibility for candidates’ progression through pipelines, prioritizing, solving problems and escalating challenges to recruiters as needed
• Schedule virtual and on-site interviews for multiple candidates, ensure quality feedback is collected following interviews
• Facilitate on-site baseline tests for Grading and Authentication pipelines
• Develop an understanding of the organization, including the various functions and career levels, to power strong judgment in coordinating interview loops and candidate experiences
• Initiate and manage full-cycle communication for the coordination process, from initial outreach when a candidate applies, to coordinating interviews at the Collectors Universe office
• Help drive impact on the candidate experience as the first point of contact for candidates, as well as be a resource and own the entire candidate experience throughout the recruitment process
• Manage a high volume of applicants and interviews for candidates using scheduling software
• Collaborate with recruiters and hiring managers to ensure candidates are moved through the recruitment process seamlessly
• Champion candidate momentum and experience and promote data accuracy and hygiene
• Identify opportunities for recruiting process improvement and propose practical solutions
• Partner with team leadership to build and define coordination function as well as strategic projects as they arise
• Support Germany-specific hiring and pre‑employment processes. Ensure compliance with German employment regulations and GDPR (EU data privacy requirements) when handling candidate data.
• Support international candidates by coordinating required documentation and next steps.
• Coordinate onsite interviews and candidate logistics with local teams.

Who You Are:

• 1‑3years+ of experience in service‑oriented or customer‑facing roles, in addition to 1+ years of professional experience
• Interest in talent acquisition and/or human resources; coordinating or recruiting experience is a plus
• Exceptional writing and communication skills with the ability to work across a variety of internal and external stakeholders
• Strong organizational skills and a high attention to detail; you are able to manage a high volume of candidates and emails effectively
• Ability to think on your feet, change or adapt to ambiguous situations, and juggle multiple priorities at once in a fast-paced onsite environment.
• Proactive, collaborative problem solver with the ability to zoom out and understand the greater context and impact of tasks
• Fluent in German and English

Pay Transparency Statement

The gross annual salary range for this position is €41,714.58 to €55,167.54. Placement within the range is based on objective, gender-neutral factors such as relevant experience, qualifications, and scope of responsibility. This role may also be eligible for bonuses or other variable compensation.
