Project Coordinator - Indigenous Relations
The Project Coordinator - Indigenous Relations provides project, administrative, stakeholder engagement, reporting, and operational support to the Indigenous Relations team across Canada. This role coordinates initiatives, tracks commitments and KPIs, manages partnership information, and supports strategic business objectives, including reconciliation and Indigenous participation initiatives.
Key Responsibilities
Project Coordination
- Coordinate Indigenous Relations projects, programs, and strategic initiatives.
- Maintain project plans, schedules, action registers, budgets, and dashboards.
- Track commitments, deliverables, milestones, KPIs, and annual objectives.
- Support implementation and monitoring of WSP's Reconciliation Action Plan (RAP) and CCIB PAIR Silver Recertification initiatives.
- Prepare project reports, presentations, briefing notes, and meeting materials.
- Coordinate activities across regions and business sectors.
Business Development & Proposal Support
- Track Indigenous Participation Plans (IPPs), Indigenous Benefits Plans (IBPs), and engagement commitments related to pursuits and proposals.
- Gather information from business teams and Indigenous Relations Leads.
- Maintain databases of Indigenous businesses, partnerships, and community relationships.
- Support Indigenous procurement tracking and reporting.
- Coordinate Indigenous Relations content for proposals and business development activities.
Relationship & Partnership Administration
- Maintain records related to Indigenous communities, organizations, businesses, and strategic partners.
- Coordinate meetings and engagement activities with Indigenous stakeholders.
- Track relationship-building initiatives and follow-up actions.
- Support partnership agreements, sponsorships, MOUs, workshops, community meetings, and events.
- Assist with respectful and meaningful engagement activities.
Reporting & Communications
- Develop and maintain dashboards, reports, and performance metrics.
- Collect, analyze, and report Indigenous Relations data.
- Support executive reporting and internal communications.
- Maintain templates, tools, and presentation materials.
Administrative Support
- Coordinate meetings, workshops, planning sessions, and team logistics.
- Manage calendars, travel arrangements, agendas, minutes, and action trackers.
- Maintain documentation, shared resources, and team records.
- Support onboarding and operational efficiency initiatives.
Requirements
Education
- Bachelor's degree in Business Administration, Project Management, Indigenous Studies, Public Administration, Communications, Community Development, or a related field.
- Project Management certification or project coordination training is an asset.
Experience
- 2-3 years of experience in project coordination, stakeholder engagement, administration, business operations, community relations, or related areas.
- Experience supporting strategic initiatives, programs, or large-scale projects.
- Experience working with Indigenous communities, organizations, governments, or businesses is highly desirable.
- Experience in consulting, engineering, infrastructure, energy, transportation, natural resources, or professional services environments is preferred.
Technical Skills
- Advanced proficiency in Microsoft Excel, Word, PowerPoint, Teams, and SharePoint.
- Experience with project management, reporting tools, dashboards, and data management systems.
- Strong document management and administrative coordination skills.
Languages
- Advanced English (written and spoken).
- French is an asset.
