The Qualifications We Seek
- 1 to 3 years of relevant experience in program coordination, program administration, or administrative support
- Experience with records, databases, trackers, documentation, and administrative files
- Experience with admissions, onboarding, training, educational programs, or similar participant-focused processes
- Experience with meetings, events, orientations, workshops, or other program activities
- Strong organizational skills with the ability to manage multiple schedules, deadlines, workflows, and deliverables
- Strong communication and follow-up skills with the ability to interact professionally with candidates, students, mentors, instructors, and leadership
- Strong attention to detail and accuracy when handling confidential information, documentation, and records
- Ability to manage candidate and participant communications, including schedules, reminders, announcements, and status updates
- Ability to prepare reports, dashboards, status updates, and program metrics
- Ability to work independently, prioritize tasks, and ensure timely completion of program activities and deliverables

Your Daily Tasks
Program Administration
- Maintain ABU records, databases, trackers, and documentation.
- Manage program calendars, schedules, deadlines, and administrative workflows.
- Coordinate meetings, agendas, materials, and follow-up communications.
- Maintain admissions files, student records, mentor assignments, and program documentation.
- Keep all forms, templates, policies, and procedures current and accessible.
- Monitor administrative tasks and ensure timely completion of program deliverables.
Admissions Process Support
- Coordinate candidate progression through the admissions process.
- Receive and track candidate nominations.
- Schedule discovery conversations, portfolio reviews, interviews, and admissions meetings.
- Monitor candidate submission deadlines and required documentation.
- Maintain candidate status updates within the admissions pipeline.
- Prepare candidate materials and supporting documentation for review committees.
- Coordinate candidate communications and follow-up activities.
Student Onboarding & Orientation
- Coordinate acceptance communications and welcome materials.
- Prepare and distribute student welcome packages.
- Schedule and coordinate orientation activities.
- Manage student onboarding checklists and required documentation.
- Provide timely communication about program expectations, schedules, and resources.
- Serve as a point of contact for student questions and administrative support.
Event Coordination
- Coordinate logistics for Signing Day, Orientation, Graduation, Recognition Events, and other ABU activities.
- Reserve meeting spaces, coordinate virtual meeting logistics, and manage event schedules.
- Order supplies, materials, and branded merchandise as needed.
- Prepare participant communications and event materials.
Communication & Participant Support
- Serve as the primary administrative contact for candidates, students, mentors, and instructors.
- Respond to participant inquiries and provide timely follow-up.
- Distribute program announcements, reminders, schedules, and updates.
- Maintain email distribution lists and communication templates.
- Assist with feedback surveys and program evaluations.
- Support a positive and professional participant experience throughout the program.
- Schedule classes, workshops, mentoring sessions, and training activities.
- Track attendance, participation, and completion records.
- Coordinate mentor assignments and mentor-student communications.
- Prepare learning materials and training resources for distribution.
- Support instructors and subject matter experts with administrative needs.
- Track student progress and completion of required program activities.
Documentation & Reporting
- Maintain accurate records for admissions, student participation, and program activities.
- Prepare routine reports, dashboards, and status updates.
- Track key program dates, milestones, and completion metrics.
- Organize electronic files and supporting documentation.
- Assist with audit requests and compliance-related documentation.
- Protect the confidentiality of candidate and student information.
