Emapta Colombia is seeking a Proposal and Marketing Coordinator to drive RFP/RFQ responses, craft professional proposals, and coordinate marketing efforts for global clients. You will manage content, indexes, and deadlines while collaborating across teams to ensure high-quality submissions.

The role emphasizes strong English communication, meticulous formatting, and proactive client coordination in a remote, international setup.

Formación

• 3 to 5 years of client support in marketing or professional services.
• Experience in the AEC (Architecture, Engineering, and Construction) industry, including familiarity with proposals, RFPs, and RFQs.
• Strong written and spoken English proficiency, with business communication skills and the ability to adapt to a US communication style.
• Ability to manage multiple deadlines simultaneously and prioritize tasks effectively under time pressure.

Responsabilidades

• Support the marketing team with proposal and submittal preparation for RFPs and RFQs.
• Draft, update, and format proposal qualification documents according to the specific requirements of each RFP.
• Maintain the Proposal Index (PI) and Contact Index (CI).
• Coordinate with team members and external contacts to gather content and meet submission deadlines.

The Qualifications We Seek

Experience & Industry Knowledge

• 3 to 5 years of client support experience, ideally within a marketing, proposal, or professional services environment
• Experience in the AEC (Architecture, Engineering, and Construction) industry, including familiarity with proposals, RFPs, and RFQs
• Strong written and spoken English proficiency, with business communication skills and the ability to adapt to a U.S. communication style
• Ability to manage multiple deadlines simultaneously and prioritize tasks effectively under time pressure

Proposal & Client Communication Skills

• Strong email etiquette and professional client communication skills, including timely follow-up and a polished tone in all correspondence
• Strong proposal writing skills, including the ability to tailor boilerplate content to the specific requirements of each RFP
• Strong document formatting and layout skills, with attention to consistent styling, spacing, and visual presentation
• Experience in maintaining the Proposal Index (PI) and Contact Index (CI), with accurate and up-to-date records
• Strong proofreading and editing skills to ensure proposal content is clear, grammatically accurate, and consistent before submission
• Ability to coordinate with team members and external contacts to gather content and meet submission deadlines

Technical & Organizational Skills

• Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, for developing and formatting proposal documents
• Proficiency in Microsoft Outlook for managing client and team communications, calendars, and schedules
• Working knowledge of Asana or similar project management tools for tracking proposal deadlines and tasks
• Strong organizational and client coordination skills, with the ability to manage multiple proposals and submittals simultaneously
• Ability to support proposal preparation and documentation from initial draft through final submission
• Basic document design skills, including consistent use of templates, fonts, colors, and layouts to maintain brand standards

Your Daily Tasks

• Support the marketing team with proposal and submittal preparation for RFPs and RFQs.
• Draft, update, and format proposal qualification documents according to the specific requirements of each RFP.

Marketing

• Maintain and update the Contact Index (CI).
• Organize marketing materials and maintain brand consistency across proposals and campaigns.
• Update vendor registrations and complete new registrations as required.

Administrative Support

• Assist with administrative tasks as needed.
