Descripción de la vacante

Emapta Latam seeks a Client Intake Specialist (Immigration) to connect potential clients with immigration guidance, perform comprehensive intake, and prepare matters for attorney review. You will coordinate with attorneys, paralegals, and support staff while maintaining strict confidentiality and professional client interactions.

Formación

  • Associate’s or Bachelor's degree preferred, or equivalent relevant work experience.
  • 1 to 3 years of experience in client intake, customer service, immigration law, legal support, or a related field.
  • Previous experience in an immigration law firm strongly preferred.
  • Fluency in English and Spanish strongly preferred.
  • Excellent customer service and client relationship management skills.

Responsabilidades

  • Serve as the primary point of contact for prospective and existing immigration clients throughout the intake process.
  • Conduct client screenings and comprehensive intake interviews to gather immigration, family, employment, legal, and supporting documentation details.
  • Assess client matters and collect all information required for attorney review.
  • Explain the intake process, documentation requirements, available immigration services, and next steps while setting clear expectations.
  • Coordinate and schedule attorney consultations and ensure all required documents are collected before appointments.
  • Maintain ongoing communication with prospective clients who have not completed the intake process or retained the firm's services.
  • Follow up on outstanding documentation and provide updates throughout the onboarding process.
  • Enter, update, and maintain accurate client information in the Case Management System and CRM software.
  • Track intake metrics, consultation outcomes, referral sources, and client records to ensure data accuracy and completeness.
  • Collaborate with attorneys, paralegals, and legal assistants to facilitate a seamless transition from intake to case management.
  • Maintain confidentiality and ensure compliance with ethical standards governing client communications.
  • Build client trust through professionalism, accuracy, compassion, and discretion in every interaction.

Qualifications
  • Associate's or Bachelor's degree preferred, or equivalent relevant work experience
  • 1 to 3 years of experience in client intake, customer service, immigration law, legal support, or a related field
  • Previous experience in an immigration law firm strongly preferred
  • Excellent customer service and client relationship management skills
  • Proficiency in Microsoft Office, CRM software, and legal case management systems
  • Ability to manage multiple client files in a fast-paced environment
  • Fluency in English and Spanish strongly preferred
  • Excellent verbal and written communication skills
  • Strong interpersonal skills with the ability to communicate compassionately with individuals from diverse cultural backgrounds
  • Strong organizational skills and exceptional attention to detail
  • Ability to maintain confidentiality when handling sensitive personal and immigration information
  • Strong time management and multitasking skillsAbility to work independently while collaborating effectively with the legal team
