Virtual Staffing Careers is seeking a Legal Intake Specialist to be the first point of contact for prospective clients, gathering case information, preparing documents, and delivering excellent service. Strong English communication skills (C1) and prior U.S.

law firm or U.S.-based legal experience are required. Bilingual Spanish/English is essential, with at least one year in customer service and a background in sales or client-facing roles.

Responsabilidades

• Serve as the first contact for prospective clients via calls, email, and chat.
• Pre-qualify leads using intake criteria and collect essential case details.
• Input data into CRM/case management systems and set attorney appointments.
• Follow up on missed inquiries and nurture leads to convert into active cases.
• Prepare, send, and follow up on retainer agreements and initial forms.

Passionate about helping others and experienced in U.S. legal intake? Join us as a Legal Intake Specialist!

You’ll be the first point of contact for prospective clients, collecting case information, preparing documents, and delivering excellent service. Strong English communication skills and prior U.S. law firm or U.S.-based legal experience are required.

What You’ll Be Doing:

Client Intake & Screening

• Answer initial calls, emails, and chat inquiries professionally
• Pre-qualify potential clients based on your law firm’s intake criteria
• Collect essential case details and input data into your CRM or case management system
• Set appointments or consultations with attorneys or paralegals

Lead Follow-Up & Nurturing

• Follow up with missed calls, form submissions, or incomplete intakes
• Keep your intake pipeline active with consistent, friendly communication
• Prevent potential clients from slipping through the cracks

Documentation & Case Prep

• Ensure all intake documents are accurately completed and organized
• Send and follow up on retainer agreements and initial client forms
• Maintain intake logs and summaries for attorney review
• English and Spanish-speaking specialists available to support diverse clientele
• Improve accessibility and client experience for non-English speakers

What We’re Looking For:

• Mandatory: Prior experience working in a U.S. law firm or in a U.S.-based legal role.
• Strong English communication skills (C1 level), both written and verbal.
• Bilingual fluency in both Spanish and English is essential.
• At least a year of customer service experience, with a focus on listening, empathy, and problem-solving preferably in the U.S. Law Firm or U.S. Company.
• Experience in sales or client-facing roles is a must! You should be comfortable driving results and converting leads into active cases.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent attention to detail and the ability to manage multiple tasks at once.
• Comfortable working remotely with a reliable internet connection and a quiet, professional workspace.
• Prior experience in a legal setting is a bonus, but not required.
• Own a laptop or desktop (8GB RAM, Core i5 or above) and a stable internet connection (minimum 10 Mbps).
• Availability to work US business hours.

System and Work Setup Requirements:

• A stable and high-speed internet connection preferably 50 MBPS or higher with backup in cases of power interruption or service provider issues.
• Headset/earphone with noise cancellation and webcam at 720p or higher resolution.
• A designated, quiet, and well-organized workspace free from distractions to facilitate focused work.
