Vaud Office Relocation & Facilities Lead (6-Month Contract)

CTS Group in the Canton of Vaud, Switzerland seeks an experienced Office Relocation & Facilities Project Manager for a 6‑month fixed‑term, part‑time assignment (about 3 days per week). Lead the move into our new office, coordinating facility management, workplace planning and project execution from layout to handover.

Collaborate with architects, suppliers and local authorities to establish the facility‑management structure, select vendors and ensure a smooth transition.

Qualifikationen

• Significant experience in Facility Management, Office Management, Workplace Management, Corporate Real Estate or Office Relocation projects.
• Proven experience managing significant office moves, fit-outs or workplace implementation projects.
• Strong understanding of facility-management operations and vendor ecosystems.
• Practical knowledge of architectural plans, layouts and workplace design.
• Strong project-management capability with experience coordinating multiple suppliers and parallel workstreams.
• Experience sourcing, negotiating and managing external service providers.
• Good understanding of Swiss property, facilities and workplace requirements.
• Knowledge of Canton of Vaud administrative, real-estate and facility-management practices is strongly preferred.
• Previous Facility Management experience within the Canton of Vaud would be a strong advantage.
• Fluent French is essential.
• Good professional English is highly advantageous.

Aufgaben

• Take ownership of the office relocation & project management from planning through final move and handover.
• Develop a clear project plan covering milestones, dependencies, responsibilities, budget considerations and deadlines.
• Coordinate all workstreams to ensure the new office is fully operational on time.
• Manage multiple external suppliers and internal stakeholders simultaneously.
• Identify risks or delays early and implement mitigation actions.
• Provide clear project updates to management.
• Coordinate relocation logistics including moving companies and employee move planning.
• Ensure minimal disruption to business activities during the transition.
• Act as primary interface with architects and workplace-design partners.
• Review proposed layouts from a facility-management perspective.
• Coordinate internal requirements and ensure designs reflect operational needs.
