The UN Secretariat in Geneva seeks a Programme Management Assistant to support the Global Alliance Unit within EDM. This position is within the Global Alliance Unit, Executive Direction and Management Division (EDM) of the Office of the High Commissioner for Human Rights (OHCHR) in Geneva, Switzerland. The role reports to the Coordinator of the Global Alliance for Human Rights, contributing to the unit's operational and administrative functions.
The Programme Management Assistant supports the Global Alliance Unit by coordinating programme and project planning, monitoring proposals, and ensuring compliance with administrative procedures. This role involves extensive liaison with various organizational units to facilitate administrative actions such as personnel recruitment, travel arrangements, payments, and procurement. The incumbent will compile and present data, draft reports, and provide general office assistance, including managing correspondence, maintaining records, and organizing meetings. Additionally, the role supports data analysis for reporting and decision-making, and may provide guidance to junior staff, ensuring the smooth execution of programme and project activities within OHCHR.
Assists in coordinating programme and project planning and preparation for complex initiatives, monitoring proposals and documentation. Compiles, summarizes, and presents data on specific programmes and projects. Reviews project documents, including cost plans and budgets, for compliance and consistency, and distributes approved documents. Processes budget revisions, verifies fund availability, and ensures system entry. Acts as a focal point for administrative coordination of programme implementation, liaising with diverse units for personnel actions, travel, payments, and procurement. Compiles project delivery data, drafts status reports identifying shortfalls and budget issues. Drafts correspondence on budget matters and prepares periodic reports, briefing notes, and statistical summaries. Provides general office support, manages correspondence, maintains files, and organizes meetings. Offers guidance and training to junior staff. Assists in data collection, analysis, and preparation of presentations for reporting and decision-making. Performs other assigned duties.
A high school diploma or equivalent is required.
Requires at least five years of experience in programme or project administration, technical cooperation, or a related field. This is reduced to three years for candidates with a first-level university degree. Experience with ERP systems (e.g., Umoja, Inspira), organizing meetings (virtual/in-person), and working within a large international organization like the UN Common System is also required.
