Zusammenfassung

COFRA Holding AG in Zug, Switzerland, seeks an Executive Assistant to support a global leader in a fast-paced, international environment. You will proactively manage scheduling, travel, meetings, and executive communications with discretion and professionalism.

The role requires 2–3 years of EA experience, a Bachelor's in Business Administration, and strong English/German language skills. Work from the office five days a week, coordinating complex priorities and cross-border engagements.

Qualifikationen

  • Experience as an Executive Assistant, Personal Assistant or similar role (2–3 years)

Aufgaben

  • Manage and prioritise a complex executive calendar and priorities
  • Prepare, review and coordinate correspondence, presentations and reports
  • Act as a key point of contact for internal and external stakeholders

We are looking for a highly organised, proactive and trusted Executive Assistant to support a global leader within COFRA.

This role sits at the heart of a fast-paced international environment and plays a critical part in ensuring priorities, stakeholders and business activities are managed seamlessly. You will act as a trusted partner, helping create focus, efficiency and structure while handling sensitive matters with professionalism and discretion.

Success in this role requires excellent organisational skills, strong judgement, attention to detail and the ability to build trusted relationships with stakeholders across different cultures and functions.

About the role

As Executive Assistant, you will provide comprehensive executive support across scheduling, stakeholder management, travel coordination, meeting preparation and business administration.

You will anticipate needs, proactively solve problems and ensure the smooth coordination of both day-to-day activities and longer-term priorities. The role also includes supporting special projects and managing confidential matters with the highest level of integrity.

Executive & Administrative Support
  • Manage and prioritise a complex executive calendar, including meetings, appointments and strategic priorities
  • Prepare, review and coordinate correspondence, presentations, reports and other business materials
  • Act as a key point of contact for internal and external stakeholders
  • Manage communications and ensure timely follow-up on requests and actions
  • Support the executive in balancing multiple priorities and commitments
Meeting & Event Coordination
  • Organise and coordinate meetings, workshops and events
  • Prepare agendas, materials and briefing documents
  • Capture key discussion points, actions and decisions where required
  • Track and follow up on agreed action items
Travel & Logistics
  • Coordinate domestic and international travel arrangements
  • Manage itineraries, accommodation, transportation and related logistics
  • Anticipate travel requirements and resolve issues proactively
Business & Project Support
  • Maintain confidential records, files and documentation
  • Conduct research and compile information for reports, presentations and decision making
  • Support special projects and ad hoc initiatives
  • Assist with the coordination of business and personal priorities where appropriate
  • Process expense reports and invoices
  • Support budget tracking and reporting activities
  • Ensure administrative records remain accurate and organised
What you bring
  • 2-3 years of experience as an Executive Assistant, Personal Assistant or in a comparable executive support role
  • Experience supporting senior leaders within a management, executive office or professional services environment
  • Bachelor's degree in Business Administration or a related field, or an equivalent combination of education and relevant experience
  • Exceptional organisational and planning skills
  • Strong prioritisation and time management capabilities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Strong stakeholder management and relationship-building skills
  • Sound judgement and problem-solving ability
  • Professionalism, integrity and discretion when handling confidential information
  • Proactive and resourceful approach with the ability to work independently
  • Strong digital literacy, including Microsoft Office and collaboration tools
  • Flexibility and adaptability in a dynamic environment
Languages
  • Fluent in English and German, both written and spoken
  • Dutch or additional European languages would be considered an advantage
Location & Working Arrangement

Please note: This role is based in Zug, Switzerland and requires close in-person collaboration with senior leadership and key stakeholders. As such, the expectation is to work from the office five days per week.
