Qualifikationen

Organizational context: The International Trade Centre (ITC) aims to transform trade and change lives by enabling trade-led economic development, particularly in the Global South. Within the Division of Enterprise Competitiveness and Institutions (DECI), the Sector and Enterprise Competitiveness Section (SEC) focuses on developing and disseminating sector-level expertise for sustainable, market-driven solutions.

Job purpose: The Administrative Assistant, reporting to the Chief of the Sector and Enterprise Competitiveness Section, provides crucial support for the section's operations. This role involves managing human resources activities, including recruitment and performance appraisals, ensuring adherence to regulations. It also encompasses financial administration, such as monitoring expenditures and preparing budget reports. Additionally, the position handles general administrative tasks like travel arrangements and correspondence, and supports contract administration by processing payments for contractors. The role is vital for the efficient functioning of the SEC and its contribution to ITC's mandate.

Responsibilities: The Administrative Assistant is responsible for comprehensive human resources management, initiating and monitoring recruitment, placement, performance appraisals, and training, ensuring compliance with regulations. This includes maintaining HR data and advising staff on administrative procedures. In budget and finance, the role involves monitoring expenditures and allotments, updating budget tables, and assisting with budget reviews and financial reports. General administration duties include processing travel arrangements, drafting correspondence, maintaining official files, and coordinating with service units. The position also handles contract administration, processing contractor payments and related documentation, and performs other administrative tasks as required to support the section's operational needs.

Education: A high school diploma or equivalent is required for this position.

Work experience: A minimum of five years of experience in administrative services, finance, accounting, audit, or human resources is required. This can be reduced to three years with a university degree. Experience within the UN common system and with an ERP system is desirable.

Skills: Professionalism in performing administrative functions (budget, HR, database management), adherence to UN regulations, effective communication (written and verbal), and strong teamwork capabilities are essential.
