The Coordinator (Project/Product/Operations) will be actively involved in the planning, development, implementation, and maintenance of digital initiatives and services led by the Digital Lab (an integrated unit of BC Children’s Hospital and the University of British Columbia’s Department of Pediatrics). The aim of the Digital Lab is to improve the lives of children and families through digital innovation and technology.
Reporting to the respective Manager or Lead (Project/Product/Operations), the Coordinator supports administrative functions across the respective portfolio, including helping to plan, initiate, and implement large projects and services across the different functional teams. The Coordinator often serves as a primary liaison between the various stakeholders that support the Digital Lab, our partners, and our internal teams. The Coordinator independently ensures the accuracy of operational documentation and systems on behalf of the team, validates eligibility in line with the Digital Lab and client objectives, prepares project documentation, manages communications, logistics, and performs other associated tasks. The Coordinator also assists with recruitment processes, where appropriate, including drafting job descriptions, shortlisting, logistics, conducting interviews, and assisting the management team in various administrative operations.
This position will report to a functional Manager or Lead within the Digital Lab but will work closely with all members of the team and project partners. Depending on operational requirements, this position may supervise project/operations assistants or student/co-op positions.
Coordinates projects, products and/or operations, assuring adherence to policies and procedures
Manages production and development, in collaboration with cross-functional leads
Oversees product and user research, content development, coordination and finalization.
Manages Sprint Planning, Sprint Reviews, and daily stand-up meetings, as applicable.
Manages logistics associated with project and/or product planning, implementation, and closing.
Support the development product road-maps, plans, schedules and budgets for digital products
Facilitates and monitors continuous improvement and removal of impediments affecting plans.
Liaises with internal and external stakeholders in the initiation and refinement of documentation.
Responsible for triaging incoming inquiries by collaborators, clients, and partners to resolution.
Coordinates with internal and external stakeholders to proactively identify and resolve issues.
Manages progress documents to ensure decisions, milestones, logs and schedules, are completed on time and communicated appropriately, highlighting and mitigating risks.
Assist with the allocation of resources according to project plans and resource availability
Collaborate broadly to achieve key commitments and accountabilities, and act as a liaison between cross-functional teams and leadership groups
Oversees the coordination and logistics of resource planning to support projects and services
Develops and implements communication strategies to keep clients informed of project or product status, business directions, scope changes, and milestone achievements across the portfolio.
Conducts research and analysis on action items, as required, and may present recommendations to project leadership or stakeholders
Responsible for ensuring the accuracy and completeness of the shared project workspace.
Maintains and organizes documentation and records for the project management team.
Performs other duties as required.
Work requires judgment and initiative. Errors could have a significant impact on the success of project and operational delivery, which subsequently affects the success of the Digital Lab and negatively impact the overall aims of the Department of Pediatrics and BC Children’s Hospital.
This position is supervised by the respective functional Manager/Lead. Staff are empowered to execute their responsibilities and work independently. Work is measured in terms of the contribution to the team's achievement of project/product/operational objectives and efficiency. There should be an expectation of periodic guidance and review.
Supervises and provides guidance/training to junior staff and/or student employees.
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.
Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.
Experience in operations, project, or product management or the equivalent combination of education and experience. Working knowledge of agile software development and project management principles. Formal training or certification in product management would be a considerable asset (e.g. Project Management Professional designation).
Strong organizational and time management skills are essential. Ability to work well as a member and mediator, including ability to exercise tact, discretion and judgment, in a diverse and collegial environment. Excellent oral and written communication, interpersonal and conflict resolution skills required. Ability to exercise sound judgment, multi-task, be flexible, prioritize and work effectively under pressure to meet deadlines. Experience working with highly sensitive data and understanding of and commitment to UBC security and privacy policy. Ability to deal with a diversity of people in a calm, courteous, and effective manner while adhering to established requirements. Enthusiastic about contributing to the Digital Lab and learning environment of the University.
