The Administrative Assistant for Youth Initiatives is an integral part of an innovative and energetic team that creates engaging programs and experiences for youth at Lethbridge Polytechnic. This position is ideal for a dynamic, organized individual with strong communication skills who enjoys connecting with people and helping great ideas come to life.
Reporting to the Director, Youth Initiatives, the Administrative Assistant supports the successful delivery of youth programming by providing exceptional administrative, organizational, and customer service support. Collaborating with a variety of internal departments and external stakeholders, you will serve as a key point of contact for students, parents, teachers, staff, and community members.
In this role, you will help keep Youth Initiatives running smoothly as you coordinate schedules, respond to telephone and email inquiries, support registration systems, maintain records and files, process purchase requisitions, arrange travel and meetings, coordinate room bookings, manage office and lab supplies, administer surveys, distribute program information, and provide event support.
Your typical day will involve a mix of learning, communicating, planning, organizing, problem-solving, and tracking down the many details that help bring youth programs to life. You will balance recurring tasks that are essential to program delivery with the day-to-day requests and unexpected needs that come with working in a busy and creative environment.
Technology will be an important part of your work, and you will become skilled in using several software applications while looking for ways to make existing systems and processes even better. If you enjoy finding a more efficient way to do something, keeping many moving pieces organized and helping people have a great experience, you’ll have plenty of opportunities to do all three.
From time to time, youth events and activities may require you to be on campus at specific times or days outside of your regular schedule. On these occasions, you’ll have the opportunity to step out from behind the scenes and support the team in delivering engaging, hands‑on experiences for youth.
