Salary Range: $70,000.00 To $90,000.00 Annually

ROLE SUMMARY:

The Canadian Warehouse Manager is responsible for the overall efficiency, safety, productivity, and operational ownership of the Canadian warehouse. This role manages daily site-specific warehouse and distribution operations, including receiving, inventory management, picking, packing, shipping, and inventory control, while leading staffing, performance, training, and development for the site.

The Canadian Warehouse Manager also provides warehouse-level oversight and coordination for year-end audit activities, capital budget planning, IT coordination, vendor and supplier communication, and maintenance-related responsibilities.

MAJOR RESPONSIBILITIES:
Operational Management

Oversee daily warehouse activities including receiving, inventory management, picking, packing, shipping, and site-level distribution operations.

Track, monitor, and report key performance indicators (KPIs) related to productivity, accuracy, quality, safety, and service levels.

Continuously evaluate and improve workflows, pick paths, inventory locations, and layout utilization to optimize efficiency and safety.

Monitor performance standards and quality expectations, implementing corrective actions where required.

Implement operational initiatives that support accuracy, productivity, and customer service.

Inventory Control & Year-End Audit Oversight

Ensure accurate inventory levels through regular cycle counts, audits, reconciliations, and inventory validation activities.

Optimize warehouse layouts, stock locations, and storage practices to improve accessibility, accuracy, and space utilization.

Ensure inventory records are accurate and aligned with system data prior to audit periods or operational reviews.

Lead and coordinate all warehouse activities related to the year-end audit, ensuring accurate inventory counts, documentation, and compliance with company and auditor requirements.

Plan, schedule, and direct staffing and resources required to execute inventory verification, cycle counts, recounts, and audit-related activities efficiently and accurately.

Serve as the primary warehouse liaison for internal Finance teams and external auditors, facilitating information requests, inventory validation, and operational reviews.

Provide and validate inventory reports, reconciliations, count records, adjustments, and supporting documentation to ensure audit readiness and successful audit completion.

Team Leadership and Development

Lead and manage all Canadian warehouse staff, including recruitment, onboarding, training, performance management, coaching, and employee relations.

Mentor supervisors and key personnel to develop a sustainable warehouse leadership team and support succession readiness.

Foster a positive and productive workplace culture that encourages teamwork, accountability, engagement, and continuous improvement.

Conduct performance evaluations, provide timely feedback, and implement improvement plans when necessary.

Ensure safety protocols, operational procedures, and role expectations are clearly communicated and consistently followed.

Customer Relationship Management and Cross-Functional Support

Ensure timely and accurate fulfillment of customer orders and support corrective action for customer complaints or escalations.

Collaborate with internal customers and departments including Purchasing, Sales, Quality Assurance, Finance, IT, and Operations to support seamless supply chain execution.

Communicate warehouse needs, operational constraints, and service impacts clearly to relevant departments and stakeholders.

Compliance and Safety

Ensure compliance with applicable regulations, company standards, policies, labour requirements, environmental expectations, and safety procedures.

Promote workplace safety through training, equipment maintenance, hazard mitigation, inspections, and timely follow-up on deficiencies.

Participate in audits and inspections and ensure identified issues are addressed through corrective action.

Actively participate on the Joint Health and Safety Committee, including support for emergency response planning, fire drills, and first-aid readiness.

Budget Management and Capital Planning

Monitor and control operational costs including labour, supplies, equipment, and vendor services.

Identify cost-savings opportunities without compromising safety, service quality, or operational effectiveness.

Collaborate with the Director of Warehouse & Logistics to communicate and manage capital budget needs for the Canadian warehouse facility.

Identify operational equipment needs including forklifts, pallet jacks, order pickers, and related machinery; support replacement planning and equipment lifecycle management.

Identify warehouse technology and IT hardware needs including handheld scanners, printers, workstations, terminals, and other operational technology.

Identify facility improvement requirements including racking systems, storage expansions, dock equipment, safety barriers, and workflow or layout improvements.

Identify additional headcount requirements needed to support operational growth or workflow changes, subject to appropriate Director and/or Executive approval.

IT Coordination and Operational Support

Serve as the primary liaison between warehouse operations and IT for warehouse-related technology issues and support needs.

Report and coordinate resolution of issues involving handheld scanners, mobile and stationary printers, warehouse workstations, terminals, and warehouse system connectivity.

Communicate operational requirements for hardware replacements, lifecycle-based equipment upgrades, and new technology needs within the warehouse environment.

Maintain direct communication with IT teams to ensure issues are resolved promptly and operational requirements are clearly understood.

Ensure technology used within the warehouse supports efficient daily operations and minimizes disruption to productivity.

Vendor and Supplier Communication

Act as the primary point of contact between external vendors or suppliers for warehouse-related services, materials, equipment, and operational support.

Report, track, and coordinate resolution of issues involving vendor-supplied products, equipment, or services.

Communicate warehouse requirements to vendors and suppliers, including supply replenishment, equipment servicing, maintenance needs, replacement of damaged or defective materials, and service scheduling.

Maintain direct communication with vendors and suppliers to ensure operational issues are addressed promptly and service expectations are consistently met.

Oversee vendor contracts and coordinate with suppliers and service providers to support competitive pricing and reliable service.

Maintenance Responsibilities

Initiate, manage, monitor, and follow through on maintenance-related requests originating within the warehouse department.

Ensure maintenance requests are submitted through the designated maintenance ticketing system with clear details such as location, issue description, urgency, and supporting documentation where applicable.

Monitor submitted ticket status, follow up as required, communicate updates and resolutions to affected team members, and escalate urgent or safety-related issues through appropriate channels.

Ensure any maintenance work, repair, or project expected to exceed the $2,500 approval threshold is reviewed and approved by the Director in advance, unless immediate action is required to mitigate safety risks or prevent significant operational disruption.

Provide sufficient detail when seeking approval, including scope of work, vendor quotes, timelines, and justification.

Where a dedicated on-site maintenance department is not available, oversee and coordinate general building maintenance activities to keep the facility safe, functional, and operationally efficient.

Coordinate routine and minor repairs, preventative maintenance services, external vendors or contractors, completion verification, quality checks, and records of work performed and associated costs within delegated approval limits.

Strategic Planning and Continuous Improvement

Develop site-specific objectives that align with the company’s overall strategy and support operational growth.

Anticipate and prepare for peak seasons or increased demand by planning capacity, resources, staffing, and workflow adjustments.

Drive continuous improvement initiatives to enhance operational efficiency, accuracy, safety, employee engagement, and customer delight.

Collaborate regularly with senior management to enhance dashboards, reporting tools such as Power BI, and analysis supporting new software solutions such as D365.

Support stronger operational ownership, accountability, and streamlined communication across departments.

MINIMUM QUALIFICATIONS:

3–5 years’ warehouse management experience.

Demonstrated experience leading warehouse teams, supervisors, safety practices, inventory control, and operational execution.

Experience coordinating audit, budget, vendor, technology, or maintenance activities within a warehouse or distribution environment is considered an asset.

TECHNICAL KNOWLEDGE / EXPERIENCE:

Strong computer, data analysis, Microsoft, ERP, and warehouse systems experience.

Ability to use operational data, reporting tools, dashboards, and system information to support decision-making.

Working knowledge of warehouse technology including scanners, printers, workstations, system connectivity, and related operational hardware.
