Skills and experience sought :
- Minimum 3 years of previous experience in administrative positions or in event management
- very good command of the Microsoft Office suite
- strong organizational skills and ability to prioritize effectively
- strong interpersonal skills
- bilingualism (French and English)
- and excellent communication skills, especially in writing
- good ability to adapt and to deal with unexpected requests
- a concern for the happiness of others, both the team and the customers
- autonomy and initiative
- experience supporting executives (including calendar management)
- experience in event management, corporate or other (an asset)
- knowledge of Salesforce (an asset)
- an interest in sustainable development issues (an asset)
- a demonstrated commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias.
- This position will involve constant and ongoing communication with employees and clients from across Canada and potentially beyond, including with individuals who may speak exclusively in English or (to a lesser degree) in French.
TASKS AND RESPONSIBILITIES
The responsibilities of the Specialist, team and administration include :
Operations :
- Ensure the proper functioning of our offices and coworking spaces and equipment in Montreal, Toronto (in collaboration with a colleague in Toronto), and other cities, and coordinate changes related to the spaces
- Purchase IT equipment, office supplies, and other office equipment and keep a detailed inventory
- Make corporate donations and keep detailed records. Support or coordinate Giving Tuesday activities.
- Support or coordinate the renewal of Dunsky’s certifications, such as Net Zero and B-Corp
- Support the VP Operations in ensuring the maintenance of business registrations (cities, provinces / states) and insurance requirements
- Support or coordinate the planning of internal meetings and events such as monthly team meetings, the annual team retreat, the annual holiday parties, in collaboration with the VP Operations
- Collaborate with the Advisor, Talent & Culture to organize trainings and social events to support cohesion and connexion among team members
- Take the initiative to organize outings, send gifts, and otherwise improve the happiness of the team, clients, and partners
- Support the integration of new team members through by preparing the necessary equipment and office space
Business Development :
- Perform daily reviews of Requests for Proposals publications and share relevant opportunities with members of the Committee of business development
- Provide support to the Senior Manager, Business Development by assisting with the preparation and the submission of proposals and updating to our projects database
- Provide support to the marketing team by keeping track of upcoming conferences, coordinating the logistics related to conference participation, and other promotional campaigns
Support to team members :
- Provide administrative support to the VP, Operations (and supervisor)
- Provide executive assistance to the President of the organization by scheduling meetings, making travel arrangements and providing general administrative support
- Provide administrative support to our team of consultants
Others :
- Support the VP Operations in improving practices and team support
- Help maintain Dunsky's reputation
- Participate in internal committees, special projects, and other Dunsky initiatives
- Contribute to a positive and productive work environment

The successful candidate will work from our office in Montreal , a bright, modern space located in the Maison du développement durable , just a stone's throw from downtown metro stations.
