Job Summary

We are seeking an individual to join the Visitor Economy Office team who is passionate about tourism and the role it plays in helping build Toronto’s economy.

Responsibilities

Reporting to the Manager, Visitor Economy Office, the Supervisor Special Events (Tourism) will be responsible for the development and implementation of programs and projects in support of tourism, including:

  • Leading industry support programs (such as regenerative tourism)
  • Leading industry outreach initiatives/events and industry communications (including the Festivals & Events Calendar)
  • Leading communications with the City’s Strategic Public & Employee Communications team (Marketing and Media Relations)
  • Researching and supporting tourism development requests
  • Supporting the Night Economy initiatives as required
  • Supporting visitor information services designed to engage residents and welcome visitors
Major Responsibilities
  • Implements detailed plans and recommends policies/procedures regarding program specific requirements to support the mission of the Visitor Economy Office Unit.
  • Supports, motivates and trains assigned staff for programs and projects, ensuring effective teamwork, high standards of work quality and organizational performance, continuous learning and encourages innovation in others.
  • Provides support to the Manager, Visitor Economy Office on day-to-day operations of staff supervision including scheduling, assigning, reviewing of work, as well as providing coverage for the Manager while on vacation (including delegated tasks such as vacation and overtime requests/approvals).
  • Manages the development, administration and monitoring of assigned project/program event budget including processing, tracking and submission of purchases, contracts, revenues and expenditures, ensuring expenditures are controlled and maintained within approved budget limitations.
  • Designs, plans and executes programs and projects from inception to completion and evaluation, including any/all on-site related elements/activities.
  • Manages programs and projects, or acts as a member of project team, and integrates/consults with the Sections' Marketing, Sponsorship, Programming and Production teams to align elements into the program/project from its inception to evaluation.
  • Liaises with Sponsorship and Marketing teams to develop and execute local and regional campaigns in support of Visitor Economy Office programs. Initiates project requests, reviews outputs, manages timelines and provides success metrics.
  • Develops, maintains and retains strategic relationships with industry stakeholder organizations, senior industry representatives, individual businesses, local, provincial and national tourism organizations, politicians, bureaucrats and consulates, as well as with schools, venues, communities and attractions.
  • Develops and executes strategic measurement techniques through surveys and other targeted research to evaluate public opinion, economic impact and industry/sponsor impressions.
  • Researches, negotiates and contracts vendors supporting the delivery of Visitor Economy Office services programs.
  • Designs and implements logistics strategies for program/project/event execution. Coordinates and communicates strategies to staff, suppliers, vendors, volunteers and consultants.
  • Consults with external industry organizations and associations, and the destination marketing organization (DMO) for Toronto.
  • Represents Visitor Economy Office on divisional and corporate working groups and teams, as well as external groups, committees and meetings.
  • Consults with local, national, and international organizations and City divisions on trends in tourism, logistical and technical requirements, cultural institutions, attractions and local festivals and events, using knowledge of the tourism industry.
Key Qualifications
  • Post-secondary education in tourism, marketing/public relations, special events, event management or a related discipline, or an equivalent combination of experience and education.
  • Considerable program/project and event management experience related to tourism, including developing scope documents, critical paths, briefing notes, presentations, stakeholder reports, grant submissions, and final reports.
  • Extensive experience working in a multi-stakeholder environment and establishing effective partnerships with industry organizations, community groups, agencies, and businesses.
  • Strong knowledge of Toronto’s tourism industry, including local attractions, festivals, events, and locations.
  • Excellent partnership development and stewardship skills with key stakeholders in both private and public sectors.
  • Strong communication and customer service skills to support diverse stakeholders, including elected officials, staff, clients, and the public.
  • Ability to take initiative and adapt in high-stress environments with tight deadlines.
  • Leadership skills to motivate and supervise a team when required.
  • Highly proficient in MS Office Suite (Outlook, Word, PowerPoint, Excel).
  • Familiarity with relevant government legislation such as occupational health and safety, labour relations, and collective agreements.
  • Strong attention to detail, with the ability to set performance objectives and continuously improve organizational performance.
