Job summary

Seymour Pacific Developments Ltd is seeking a Contracts Administrator to oversee contract and schedule documentation for Subcontracts and Project Management teams. The role requires strong MS Office skills, familiarity with construction management software or ERP, and at least two years in administration.

You will manage correspondence, generate reports, and coordinate with contractors and stakeholders on site. This position offers competitive wages and a comprehensive benefits program.

Responsibilities

  • Oversee all contract and schedule related documentation for subcontracts and project management teams.
  • Draft, distribute, and finalize subtrade contract agreements and change orders.
  • Maintain records of all correspondence related to contract activity.
  • Prepare reports and analyses as required.
  • Attend project meetings and take accurate minutes for distribution to the project team.
  • Develop relationships with external contractors and stakeholders.
  • Prepare and modify documents from clients, partners, and vendors.
  • Ensure contract information and databases are up-to-date.
  • Daily communication with on-site head office staff, consultants, and subcontractors.
  • Input and update construction management software.
  • Communicate site information, risks, and issues.
  • Support Accounts Payable regarding contract invoicing.

Job description

The Contracts Administrator willberesponsible forthe oversight of all contract and schedule related documentation for both theSubcontracts andProjectManagement teams. The ideal candidate willdemonstrateexcellent administrative skills, be flexible,and work effectively in a fast-paced environment

Your contributions to the team include:

  • Ensureaccurateprocessing of contract requests including but not limited to the overall administration, drafting, distribution, and completion of all subtrade contract agreements, change orders,and professional service agreement awards
  • Establish and update records of all correspondence related to contract activity
  • Ensure contracts are complete and finalized
  • Prepare reports and analyses asrequired
  • Attend project meetings and take detailed meeting minutes with a high degree of accuracy for distribution to the project team
  • Develop andmaintainprofessional working relationships with external contractors and key stakeholders
  • Prepare andmodifydocuments including correspondence, emails, reports, department processes, distribution groups, drafts and logs from clients, business partners, and vendors
  • Ensure contractual information and databases used by the project team are uptodate andaccurate
  • Daily communication with on-site head office staff, consultants, and subcontractors
  • Input and update construction management software
  • Continuously communicate site information, risks, and issues from updates
  • Provide support toAccountsPayableregardingcontract invoicing and act as a liaison asrequired
What you need to be successful:

  • Strong interpersonal skills to build and foster partnership with teams
