Job summary

Saint Mary’s University in Halifax is seeking a Housing and Residence Representative to join the Housing and Conference Services team. This role serves as the first point of contact for clients, processing applications and managing deposits, payments, and refunds, while supporting a busy residence operation.

The ideal candidate has a high school diploma with a business course, one year of related experience, strong Microsoft Office and StarRez skills, and excellent communication.

Qualifications

• High School completion, plus a one-year Community College business course.
• Minimum one-year related experience.
• PA high level of proficiency with Microsoft Office Suite (Word, Excel, Access), Microsoft Forms, Microsoft Outlook, and database management.
• Extensive experience with StarRez, including the StarRez Portal X and StarRez Web.
• Excellent interpersonal, written, and oral communication skills.
• Demonstrated experience and excellence with typing, data entry, and mail merge.
• Experience handling cash and balancing.
• Experience with rental agreements and/or leases.
• Experience working with students and/or in a post-secondary educational environment.
• Experience working with and appreciation for diverse populations.
• Experience with Internet native Banner (INB) a definite asset.
• Website maintenance experience an asset.

Responsibilities

• Function as the initial point of contact for all clients of the Department of Housing & Conference Services and provides extensive administrative support for the department.
• Process applications for all forms of residence accommodation for all terms and provides customer service to clients, in person, and via telephone and e-mail.
• Ensure the proper receipt and processing of all deposits and payments and approved refunds of the same.
• Prepare payroll for student employees and manages the departmental petty cash and purchasing cards.
• Receives and inputs all non-academic, internal room bookings.
