Position Summary:
The role of the Sr. IT Procurement Specialist is to support, manage, and administer contracts for departmental spending on services and products throughout the organization. The successful candidate will assist in developing and implementing strategies, policies, and procedures for the procurement function, consistent with corporate requirements, while addressing departmental needs. Ultimately, this role is required to support the Procurement Manager to address vendor and solution selections and contract negotiations to expedite projects and free up departmental resources to focus on their respective areas of responsibility.
Position Responsibilities:
- Support the Procurement Manager on various initiatives, including the development of supply chain metrics; continuous evaluation of spend across the organization to obtain optimum value for money; managing the procurement lifecycle to ensure it is efficient and adheres to best practices; performing data gathering and analysis related to procurement policies, processes, and tools; assisting in establishing vendors of record and performance.
- Create and manage a contractor/contingent worker database identifying all information regarding the contracts/agreements.
- Interface with internal customers to understand and support IT’s requirements for products and services.
- Monitor and review current and existing contracts to proactively identify contract expirations, and coordinate with appropriate stakeholder(s) to determine contract renewal disposition.
- Work with finance and budget owners to meet budget/savings goals by capitalizing on supplier opportunities and/or alternative ways of filling needs, using consultative and change management skills.
- Negotiate cost-saving and cost-avoidance opportunities that will substantially reduce overall annualized costs of purchased goods and services.
- Partner with stakeholders to develop requirements to solve specific IT needs, then own and drive the sourcing process for all RFx services.
- Identify and recommend procurement process improvements to achieve better services, cost reductions, and supplier performance.
- Manage and update spend and vendor reports to find potential cost savings, identify trends, and communicate findings and recommendations.
- Develop and maintain analytics and spend categories using visualization tools such as PowerBI, Tableau, etc., to create dashboards, reports, and metrics.
- Collaborate on developing a Supplier Performance Management System including KPIs, performance reporting, and risk management.
- Administer procurement trackers, renewal trackers, and information repositories; create reports, KPIs, and cost-benefit analyses for management.
- Lead RFx development and administration, ensuring timely and policy-compliant processes.
- Ensure delivery of business objectives and quality standards within budget and policies.
- Promote competition among suppliers for goods and services.
- Work with Legal to negotiate vendor contracts, addressing concerns on terms, pricing, and compliance.
- Manage business case and intake processes to align procurement with organizational goals and budgets.
- Review contracts to proactively identify expirations and coordinate renewals.
- Prepare and track purchase orders, create and update supplier records, and ensure timely invoice payments.
- Maintain strong relationships with internal stakeholders and key vendors.
- Protect vendor pricing and financial information confidentiality.
- Ensure compliance with company policies on health, safety, integrity, and conduct.
- Perform other duties and projects as assigned.
Qualifications:
- University degree or college diploma in a related IT or computer science field, with 5-7 years of experience in IT procurement/strategic sourcing.
- Broad knowledge of IT products and service markets.
- CSCMP Certification or equivalent is an asset.
- Keen curiosity, strong business acumen, and passion for procurement and supply chain.
- Strong data analysis skills; experience with analytics platforms like PowerBI or Tableau.
- Excellent collaboration, communication, and presentation skills.
- Ability to work independently and in teams, managing multiple priorities under tight deadlines.
- Proficiency in Microsoft Office tools; experience with PeopleSoft and ServiceNow is a plus.
