Job summary

Frey Consulting Group in Edmonton, AB, is seeking a Sr. Administrative Coordinator to own the daily operations of the Edmonton office and provide high-level administrative support to senior leadership.

The role includes HR coordination from onboarding to compliance, and collaboration across departments to keep the office running smoothly. The position is onsite, full-time, with responsibilities spanning reception, scheduling, travel, documentation, and record-keeping, plus vendor coordination

Qualifications

  • 5+ years in an office manager, executive assistant or operations role.
  • Strong organizational and multitasking abilities.

Responsibilities

  • Own the daily operations of the Edmonton office, keeping it productive, organized and running smoothly.
  • Provide high-level administrative support to senior leadership
  • Carry day-to-day HR coordination, from recruitment support through onboarding, offboarding and compliance tracking.
  • Support operational administration across shipping, customer inquiries, marketing lists and office systems.
  • Oversee daily office operations including reception, mail and general administration.
  • Answer phones and direct queries to the appropriate team member.
  • Serve as the first point of contact for visitors, customers and service providers.
  • Coordinate vendors, deliveries and service appointments.
  • Manage office supplies, equipment and workspace needs.
  • Support onboarding logistics, including workspace setup and equipment coordination.
  • Oversee office improvement initiatives and workspace planning.
  • Coordinate contractors for repairs, upgrades and maintenance.
  • Provide administrative support to senior leadership and the Principals.
  • Manage calendars, scheduling and meeting coordination for the leadership team.
  • Prepare, organize and edit documents and communications.
  • Coordinate travel arrangements and expense tracking.
  • Handle confidential information with discretion and professionalism.
  • Support day-to-day HR coordination in collaboration with leadership.
  • Assist with recruitment, interview coordination and candidate communications.
  • Coordinate onboarding and offboarding processes end to end.
  • Track attendance, training, certifications and compliance requirements.
  • Assist with HR documentation, policies and reporting.
  • Respond to employee inquiries on policies, vacation and general matters, escalating sensitive or complex issues appropriately.
  • Coordinate team-building events, staff functions, employee recognition programs and milestone tracking.
  • Coordinate packing slips and send customer shipping notifications.
  • Support customers and drivers on freight and shipping inquiries, and assist with general customer inquiries.
  • Maintain marketing lists and business development processes.
  • Coordinate webinars, presentations and internal communications.
  • Support HR and office-related software systems, and coordinate IT setup and access for employees.
  • Maintain organized digital and physical records.
