Reporting to the Senior Operating Officer, Provincial Home Care and Edmonton Corridor Lead, Assisted Living Alberta; the Executive Administrative Coordinator is an advanced role that requires the individual to perform at a high level, with limited supervision / guidance and is accountable to perform a wide variety of complex and confidential administrative duties. To be effective, it is critical that the individual exercise critical thinking, problem solving and formal / informal leadership skills. Being consistently mindful of optics, the position requires a full understanding of the Senior Operating Officer, Clinical Delivery & Operations, Assisted Living Alberta, Edmonton Corridor portfolio and frequently represents the portfolio as the first point of contact. An important attribute of this position is the ability to utilize diplomacy in interactions with a wide variety of individuals in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, and efficient with a high level of discretion, professionalism, and confidentiality.
The incumbent must employ a high level of accuracy with a keen eye for detail, have excellent communications skills, and the ability to coordinate multiple, concurrent tasks. The candidate possesses exceptional organizational skills and demonstrates flexibility readily adapting to new situations and continuous change. Additionally, the candidate must be able to work independently and maintain focus while managing competing priorities and deadlines. Work assignments for this administrative position are complex in nature where considerable independent judgement, tact, creativity and initiative are required. Consistently the position must exercise discipline with respect to the confidentiality of information. A strong ability to initiate and maintain effective relationships with internal and external stakeholders is requisite. Key responsibilities include managing schedules, preparing information and materials for meetings, coordinating correspondence, collating data requests, completing payroll submissions, responding to action requests, maintaining a comprehensive e-filing system, provides direction and guidance to other administrative support staff related to troubleshooting, or responding to questions related to procedures etc. Excellent written, oral and listening communication skills, strong decision-making ability, and attention to detail is required and assisting with other requirements of the office. The Executive Administrative Coordinator acts as a resource to other administrative support staff within the portfolio or office by providing advice and assistance on routine or administrative special projects as needed.

Post-secondary education with a minimum of 7-10 year of administrative experience working in a senior level office and preferably in a healthcare environment. A combination of education, training and experience will be considered. Excellent calendar management skills with strong working knowledge and proficiency in Microsoft office (Outlook, Excel, Word, PowerPoint). Must have experience working with virtual platforms (Teams, ZOOM, etc). Minimum 40 wpm required. Considerable working knowledge of Assisted Living Alberta systems and processes; (e.g. Inform WFM, E-People, ORACLE, RMS). Considerable working knowledge of legislation, policies and processes and general office policies and procedures. Excellent problem solving and analytical skills; ability to work collaboratively with managers and staff from various departments, cope under pressure, deal with stress effectively. Must be able to manage changing priorities and tasks productively in a well-organized manner. Work effectively within a team or independently and be self-directed to readily adapt to new situations and changes. Ability to handle sensitive and confidential material with the utmost professionalism.
Strong interpersonal skills and exercise good judgment, diplomacy and high degree of professionalism. Willingness to learn new electronic data systems as implemented.
