Key responsibilities include managing repairs, processing invoices, inventory control, and ensuring accurate status reporting to supervisors. A background in automotive/mechanical knowledge is a plus, with strong Excel and communication skills essential.

Qualifications

• Minimum 2+ years in a coordination role, preferably in service and repair.
• Excellent English communication, both written and verbal.
• Strong computer skills with Microsoft Office; Excel proficiency required.
• Familiarity with stockroom/warehouse concepts.
• Automotive/mechanical knowledge is an asset.

Responsibilities

• Handle and respond to inbound calls for internal/external repairs.
• Review mechanic expense reports for approval.
• Review open service work orders and verify costs.
• Maintain real-time statuses on shop work being performed.
• Manage stockroom receipts, records, and withdrawals.
• Inventory control for telematics parts and on-ground stock.
• Prepare invoices for customers and process deductions.
• Work on OOS truck/trailer reports and follow up.
• Inspect deliveries for accuracy and report issues.

We are currently looking to add a motivated individual able to work in a fast-paced environment to join our Shop Administrator in maintenance team at our Brampton office.

Job Duties:

• Handle and respond to inbound calls for both internal and external repairs/ service.
• Review expense reports from mechanics for approval.
• Review all open service work orders in the system and ensure all the costs have been accounted for.
• Ensure accurate and real-time statuses on all work being performed in the shop
• Maintain receipts, records, and withdrawals of the stockroom
• Managing inventory for telematics in system and on ground.
• Prepare invoices for customers and also send for deductions.
• Working on OOS truck and trailer report and follow up with them.
• Inspect deliveries for incoming and outgoing items for accuracy, damage or discrepancies and report any issues to supervisor
• Work with a positive and professional attitude and communicate effectively and efficiently with customers
• Manage and track truck and trailer parts inventory and order parts as necessary.
• Examine and inspect immediately.

• Strong computer skills, with intermediate abilities in Microsoft Office, specifically Excel.
• Must have had a minimum of 2+ years in a coordination role, preferably in the service and repair industry.
• Familiarity with standard concepts and best practices in a stockroom or warehouse environment
• Excellent communication skills in English, both written and verbal.
• Automotive/ Mechanical knowledge will be an asset.
• Ability to multi-task and thrive in a fast paced, dynamic work environment
