Job summary

Are you organized, detail-oriented, and thrive in a fast-paced service environment? We are looking for a Service Writer to play a key role in supporting our shop and field operations. This position is responsible for coordinating service documentation, dispatching field technicians, maintaining work order accuracy, and ensuring exceptional customer service.

Working closely with customers, technicians, parts personnel, and shop leadership, the Service Writer helps keep operations running efficiently while ensuring all work is accurately documented and billed.

Job Description
What You'll Do
Customer & Operational Support
  • Serve as a primary point of contact for customers, responding to inquiries professionally and efficiently.
  • Build and maintain strong working relationships with customers and internal teams.
  • Receive, log, and coordinate service calls for field technicians.
  • Dispatch field technicians and maintain visibility of their locations to support operational efficiency and safety.
  • Coordinate with shop leadership to monitor and prioritize work orders.
  • Work closely with parts personnel to ensure accurate parts tracking and billing.
  • Assist with scheduling lube technicians and maintaining the shop service board.
  • Coordinate equipment exchanges as required.
Administration & Documentation
  • Open, update, and close work orders.
  • Process customer invoices and service documentation accurately and on time.
  • Maintain equipment status records and customer-owned equipment files.
  • Retrieve, file, and maintain service-related documentation and records.
  • Track customer purchase orders and ensure billing information is complete.
  • Coordinate Non-Destructive Testing (NDT) requirements and maintain tracking records.
  • Support reporting, tracking, and data management using various software applications, including Excel.
  • Ensure paperwork is completed accurately and processed in a timely manner.
What We're Looking For
  • 2 to 5 years of experience in a service, mechanical, heavy equipment, shop, or industrial environment.
  • Strong administrative and organizational skills with a high attention to detail.
  • Experience managing multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office, including Outlook and Excel.
  • Strong communication and customer service skills.
  • Ability to work independently with minimal supervision.
  • Experience with work order management, dispatching, invoicing, or service coordination is considered an asset.
