We are seeking a seasoned Senior Executive Assistant to support two executives - the Chief Sourcing Officer and Vice President, Fresh Procurement, of Loblaw Companies Limited. The ideal candidate must possess a high degree of professionalism, exceptional organizational and planning skills, the ability to manage multiple priorities, keen attention to detail, and the ability to build and maintain effective relationships at various levels across the organization.

The role includes assisting the Chief Sourcing Officer and Vice President, Fresh Procurement, with administrative initiatives, project coordination, developing agendas, project plans, and documents. This position requires a high level of anticipation, attention to detail, judgment, confidentiality, and problem-solving skills.

Responsibilities:
  1. Complete a variety of administrative tasks including calendar and email management, event planning, travel arrangements, expense reports, correspondence, and special projects.
  2. Perform routine office duties involving record and file maintenance, meeting/travel arrangements, and event planning (e.g., off-site meetings, team building, holiday parties).
  3. Manage office supplies, communication of repair requests, invoice processing, and vendor partnerships.
  4. Handle daily calendar management, scheduling meetings, and booking travel arrangements.
  5. Use professional judgment to screen and prioritize inquiries.
  6. Work autonomously on complex assignments and maintain confidentiality.
  7. Assess and prioritize tasks daily/weekly for each leader.
  8. Support in pre-screening reports for accuracy and completeness.
  9. Prepare or modify documents including presentations, correspondence, and reports.
  10. Manage meeting preparations and coordinate with stakeholders.
  11. Coordinate conferences, meetings, and events, including logistics and catering.
  12. Provide general administrative support as needed.
Qualifications:
  • 7+ years of Executive Assistant experience; experience in sourcing, procurement, or retail is a strong asset.
  • Proficiency in MS Office, especially PowerPoint, with high accuracy.
  • Excellent written and oral communication skills.
  • Ability to handle sensitive information professionally.
  • Strong organizational and time management skills in a fast-paced environment.
  • Ability to prioritize multiple projects effectively.
  • Proactive, flexible, and polished demeanor.
  • Ability to travel as required.
