Job summary

Nanaimo Ladysmith Public Schools invites applications for casual School Secretary I or casual clerical staff to join our district. The role supports the school’s administrative system and instructional staff. Assignment is Casual On-Call, Monday–Friday, as needed under the current Collective Agreement.

Wage is $29.07 per hour, with 10.8% in lieu of vacation and statutory holidays. Qualifications include a high school diploma, Administrative Assistants certificate, 50 CWPM typing, and strong MS

Qualifications

  • High school graduation or equivalent.
  • Completion of the Applied Business Technology Certificate for Administrative Assistants and over 1 year related experience.
  • Minimum keyboarding speed of 50 CWPM.
  • Demonstrated ability to operate all Microsoft Office products in a Windows environment.
  • Good interpersonal and communication skills.
  • Ability to operate and maintain standard office equipment, including PC, photocopier, scanner, fax.

Responsibilities

  • Provides school reception and general information by answering switchboard and greeting visitors.
  • Collects, prepares, photocopies, collates and distributes documents and may type from handwritten notes.
  • Provides general office assistance and may manage student records and attendance data.
  • Receives and processes staff or student fees and monies from fundraising as directed.
  • Maintains filing systems and secures school keys as directed.
  • Assists with ordering and storing school supplies and first aid items.
  • Maintains lists, directories, course outlines and health and safety binders.
  • Assists with preparation of certificates and transcripts for students.
  • Maintains textbook distribution and receipt of monies from students.
  • Operates and maintains office equipment including computer, photocopier, scanner, laminator and fax machine.
  • Assists other school-based staff and may perform other related duties as assigned.

Nanaimo Ladysmith Public Schools is pleased to share that we are looking to hire dedicated School Secretary I or casual clerical staff to join our district and team, in a casual capacity.

Under the general direction of the School Secretary III or designate, casual Clerical staff (School Secretary I’s), perform a variety of office and clerical duties to support the school’s administrative system and instructional staff.

About the Role
Primary Duties and Responsibilities
  • Provides school reception and general information by answering switchboard, distributing mail, greeting visitors, responding to student needs and answering general enquiries.
  • Collects, prepares, photocopies, collates and distributes a variety of documents and may type from handwritten notes, rough drafts, or corrected copy.
  • Provides general office assistance and may be assigned specific school duties, such as student record files, maintenance of student attendance/suspension records, parent liaison, input and retrieval of data utilizing a personal computer or the district’s computer system.
  • Receives and processes staff or student fees and monies from fundraising as directed.
  • Maintains filing systems and secures school keys as directed.
  • Assists with ordering and storing school supplies including first aid supplies.
  • Assists with collecting, preparing, photocopying, collating and distributing a variety of documents and forms including the maintenance of lists, students’ directories and course outlines and health and safety binders.
  • Assists with the preparation of certificates and transcripts for students.
  • Assists with the maintenance of textbook distribution and returns and receipt of monies from students.
  • Operates and provides maintenance to general office equipment including personal computer, photocopier, scanner, risograph, laminator, and fax machine.
  • Assists or advises other school-based staff.
  • May, on occasion, be required to perform other related duties as assigned.
Required Qualifications and Experience
  • High school graduation or the equivalent.
  • Completion of the Applied Business Technology Certificate for Administrative Assistants and over 1-year related experience or an equivalent combination of training and experience.
  • Minimum keyboarding speed of 50 CWPM.
  • Demonstrated ability to operate all Microsoft Office products in a Windows environment.
  • Good interpersonal and communication skills.
  • Ability to operate and maintain standard office equipment, including a personal computer, photocopier, scanner, risograph, laminator and fax machine.
  • Good grammar, spelling and punctuation skills.
  • Ability to perform duties independently with speed and accuracy and to work effectively under pressure with deadlines.
  • Ability to maintain the confidentiality of sensitive information seen or heard.

Assignment: Casual On-Call, Monday - Friday, picking up work as and when required based on operational needs and as per the current Collective Agreement.

Wage: $29.07 per hour, with an additional 10.8% in lieu of vacation and statutory holidays.
