Qualifications

  • Some post-secondary education is an asset.
  • 1 year experience scheduling part-time unionized employees is preferred.
  • Experience in an administrative capacity or office setting.
  • Experience with databases, preferably with an online scheduling or payroll system.
  • Strong customer service orientation and professional communication.

Responsibilities

  • Enter and complete payroll requirements and process timesheets.
  • Assist with administrative tasks including handling staff calls and emails and data entry.
  • Administer requests and changes to staffing and availability, keeping staffing levels adequate.
  • Provide scheduling services for assigned client group, from collecting availability to deployment plans for events.
  • Monitor staffing levels and liaise with managers to confirm deployment requirements.
  • Provide departmental and managerial with staff information and required statistics.
  • Maintain manuals and update event staff communications as needed.
  • Support staff services duties and projects as required.

POSITION SUMMARY:

The Scheduling and Staff Services Assistant is part of the People Team is responsible for providing proactive, best-in-class customer service to our event staff and managers. Key responsibilities include scheduling part-time staff for events and timesheet processing.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned as required)

  • Enter and complete all payroll requirements and process timesheets
  • Assist with administrative functions including monitoring and responding to staff phone calls, emails, and data entry while maintaining detailed records of all call communication
  • Administer late requests, schedule and/or deployment changes, time-off requests, leaves of absence, and availability changes, etc. while maintaining appropriate staffing requirements
  • Provide one-stop scheduling services for an assigned client group; from collecting availability, scheduling events in accordance with the Collective Agreement and/or departmental scheduling guidelines to developing staff deployment plans for all events
  • Monitor staffing levels by classification to ensure adequate staffing levels are maintained and that all staff have submitted up to date availability
  • Liaise with Event/Department Managers to confirm staffing deployment requirements
  • Provide People department and Managers with unexcused, late and sick employee information, and other statistical information as required
  • Maintain a step-by-step procedure manual for all responsibilities and tasks performed in this roleli>
  • Update event staff message boards and assist as required with other staff services duties and projects

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Some post-secondary education is an asset
  • 1 years experience scheduling part-time unionized employees is preferred
  • Previous experience working in an administrative capacity or office setting
  • Experience with databases, preferably with an online scheduling or payroll system
  • Demonstrated ability to work as a team player with a high level customer service focus, responding to all customers with a professional and “can do” approach
  • Knowledge of payroll systems and timesheet processing an asset
  • Ability to work in a fast-paced, time-sensitive environment with the ability to multi-task
  • Working knowledge of MS Office programs; quick to learn new programs
  • Exceptional organizational and time management skills to meet tight deadlines
  • Excellent written and verbal communication skills, with a strong commitment to communicate professionally and positively with staff and fans
  • Ability to work independently
  • Must be detail-oriented
  • Flexible to work shifts during daytime office hours, Monday-Sunday, based on the Rogers Arena event schedule
