Job summary

Regina Exhibition Association Limited (REAL) is seeking a Scheduler to manage all administrative aspects of the scheduling process. You will schedule staff to meet operational staffing requirements in line with the RWDSU collective agreement and Saskatchewan Employment Act.

This full-time role operates Monday to Friday, 8:00 am to 4:30 pm and offers competitive wages ($16.08–$24.30 per hour), RRSP benefits, and opportunities to contribute to an organization that delivers memorable experiences.

Qualifications

  • Grade twelve (12) education.
  • Office Education diploma/certificate is an asset.
  • Experience in a fast-paced office environment with multiple demands.
  • Experience with high-demand telephone conversations and etiquette.
  • Experience communicating using various styles.
  • Experience scheduling and working with collective bargaining agreements.
  • One year working in an Excel-based environment.

Responsibilities

  • Maintain accurate scheduling records and update monthly availabilities.
  • Prepare, complete, and distribute accurate weekly schedules to managers and staff.
  • Assist with filling last-minute scheduling changes due to operation needs.
  • Maintain confidential personnel information.
  • Input scheduling templates and daily data entry for changes.
  • Provide back-up for other scheduling staff.

Job description

Reporting to the Manager, Staff Engagement, Training, Central Scheduling and Volunteers, the Scheduler is responsible for all administrative aspects of the scheduling process within Regina Exhibition Association Limited. This position is responsible for scheduling staff to fill the operational staffing requirements as determined by management and in accordance with the collective bargaining agreement (RWDSU) and the Saskatchewan Employment Act. The Scheduler is integral to ensure staff resourcing meets operational requirements as per management direction.

What You Will Do
  • Maintain accurate scheduling records by:
  • Updated monthly availabilities to ledgers
  • Update ledgers from approved seniority lists
  • Log call dates and times of calls on ledger
  • Prepare, complete, and distribute accurate weekly schedules to managers and staff.
  • Assist with filling last minute requirements due to changing operation needs and absenteeism.
  • Maintain up-to-date, organized, confidential and secure personnel information related to contact information.
  • Ensures schedules are completed and confirmed within the appropriate timelines.
  • Process staffing/ schedule changes as provided by managers/ supervisors.
  • Inputs scheduling templates and completes daily data entry for scheduling changes.
  • Provides back-up and relief for other scheduling staff as required.
Responsible for effective two-way communication with the Managers by providing ongoing internal communications to Manager or designate on staffing requirements and attendance support matters by:
  • Confer with department managers or delegates to assess progress and discuss needed changes.
  • Work with other departments on the basis of "cross training" to fill staffing requirements throughout the grounds.
  • Assists managers/supervisors for various departments and provides historical scheduling data when necessary.
  • Assist with reporting on an as needed basis.
Performs Other Duties As Required

Shift: Monday - Friday: 8:00 am - 4:30 pm

Salary: $16.08-$24.30

Education and Experience
  • Grade twelve (12) education
  • Office Education diploma/certificate is an asset.
  • Experience in working in a highly reactive, fast paced office environment in which there are often multiple demands
  • Experience with high demand telephone conversations and etiquette.
  • Experience in communication using a variety of communication styles
  • Experience scheduling and working with collective bargaining agreements.
  • One (1) year working in an excel based environment.
Knowledge, Skills And Abilities
  • Demonstrated ability to work efficiently in a computerized environment with practical knowledge of Microsoft Suites.
  • Strong time-management skills and a proven track record of delivering quality results, with attention to detail within tight timelines.
  • Provide excellent customer service to staff and management at all times.
  • Excellent organizational skills.
