Job description

Accountability:

The Scheduling Coordinator plays a critical role in supporting the OR PMO Team and collaborating with various OOI’s departments. This role is responsible to enhance project management efficiency and stakeholder engagement to align with organizational goals, while ensuring smooth adoption of new practices and maintaining operational readiness through effective schedule and change management.

Responsibilities
  • Responsible for gathering and analyzing data to prepare and submit weekly scheduling reports to the client.
  • Responsible for the overall planning and scheduling activities on multiple OOI projects, identifying critical paths including critical float path analysis and schedule variance analysis.
  • Assess progress measurement and developing/updating progress curves for progress reporting.
  • Perform schedule variance analysis and risk analysis, providing recommendations as required.
  • Actively participate in regular meetings with the client, providing overall schedule updates, promptly reporting any schedule discrepancies, and ensuring that mitigation plans are in place to address any issues that arise.
  • Collaborate with the OR PMO team, continuously assess and improve project management processes, tools, and templates to enhance efficiency and effectiveness.
  • Integrate schedules for schedule portfolio management internally or with the client(s). Ensure best practices, lessons learned and new technologies in project management are captured, shared, and implemented.
  • Drive the facilitation and maintenance of the Operational Readiness master schedule and checklist (commonly known as the readiness “P6” and “Readiness Checklist.”) and resolve any scheduling conflicts.
  • Manage projects identified by the PMO lead that assist in overall operational readiness; including but not limited to: supporting documentation around issues that impact overall schedules, visualizing schedule data, and identifying opportunities to improve schedule data.
  • Manage contractual compliance by tracking, tracing, and updating contractual obligations derived from Project Agreements and other legally binding documents.
  • Maintain alignment of the OOI Operational Readiness schedules timeline.
  • Ensure existing and future reporting requirements are achieved as per Project Agreement (PA) requirements.
Qualifications

Education & Experience:

  • Completed post-secondary education in a related field and/or equivalent combination of related work experience.
  • A minimum of 5 years of experience in project management, including leading the defining and implementing processes, project governance frameworks, standards, and procedures.
  • Minimum 7 years of experience in Planning & Scheduling.
  • Expert skills in Primavera (P6) and Microsoft Project.
  • Schedule risk analysis tools and experience (i.e., Monte Carlo analysis).
  • Demonstrated expertise in leading complex projects and managing cross-functional teams, preferably in the railway industry and/or experience in agile project management.
  • Planning and Scheduling Professional (PSP) or Project Management Professional (PMP) designation would be an asset.

Required Skills:

  • Demonstrated advanced proficiency in project management software and tools (e.g., Primavera P6, JIRA) and Microsoft Office Suite.
  • Excellent time management and organization skills, with the proven ability to juggle and reprioritize based on business demands and priorities.
  • Excellent verbal and written communication skills, with the ability to effectively convey complex information to diverse audiences.
  • Strong analytical and problem-solving skills, with the ability to analyze data, identify trends, and make data-driven decisions.
  • Understanding of business processes and objectives, with the ability to align project management activities with broader organizational goals.
  • Strong interpersonal, negotiation and collaboration skills with internal and external stakeholders.
  • Thrives in fast-paced environments and is flexible and adaptable in response to changing demands.
  • Quickly comprehends complex information and creates innovative solutions to simultaneous emerging challenges.
  • Demonstrated ability to drive results and deliver projects on time and within budget.
  • Maintains a positive attitude and composure under pressure.

Physical Requirements:

  • Sedentary Work: The ability to sit for extended periods of time is necessary.
  • Computer Usage: Frequent use of a computer and other office equipment.
