COMPASS GROUP CANADA is seeking a Scheduling and Payroll Coordinator to manage workforce scheduling, timekeeping, attendance, and payroll support for hospital units, ensuring staffing coverage and payroll accuracy in line with collective agreements.

Qualifications

  • Experience scheduling large groups of unionized employees in healthcare environments.
  • Strong knowledge of collective agreements, seniority provisions, scheduling practices, attendance management, and overtime allocation.
  • Experience with workforce management, scheduling, timekeeping, and payroll systems, preferably UKG.
  • Proficiency with Microsoft Office Suite, esp. Excel, Outlook, Word.
  • Strong organizational, analytical, and problem-solving skills with attention to detail.
  • Excellent written and verbal communication across organizational levels.
  • Ability to manage competing priorities in a fast-paced environment and handle confidential information.
  • Post-secondary education in Business Administration, HR, Payroll, or related field is assets.
  • Experience in unionized healthcare environment is strongly preferred.

Responsibilities

  • Develop, maintain, and post workforce schedules in line with collective agreements and timelines.
  • Ensure scheduling complies with seniority, overtime, and union requirements.
  • Coordinate coverage for absences including sick calls, vacations, and leaves.
  • Maintain schedules, rosters, shift assignments, and employee availability records.
  • Schedule employees in workforce management systems and keep records current.
  • Review time and attendance to support payroll accuracy and resolve discrepancies.
  • Enter and maintain approved leave information in systems.
  • Maintain attendance, availability, shifts, and leave tracking documents.
  • Communicate schedule changes and staffing updates to employees and leaders.
  • Liaise with supervisors, HR, Payroll, and Labour Relations to address scheduling issues.
  • Support workforce planning during peak periods, holidays, and projects.
  • Create and update scheduling forms, tools, reports, and documentation.
  • Assist with implementing and optimizing scheduling processes and systems.
  • Maintain confidentiality and integrity of employee and payroll data.

Job description

The salary range for this position is $50,700 to $54,600. Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, and discretionary bonus or incentive programs, where applicable to the role. We are committed to offering competitive compensation and comply with all applicable pay transparency legislation. As theScheduling and Payroll Coordinator, you are responsible for workforce scheduling, timekeeping administration, attendance management, and payroll support for assigned hospital units. This role ensures appropriate staffing coverage, accurate scheduling records, and timely communication with associates and leaders while maintaining compliance with collective agreements, organizational policies, and operational requirements.

  • Develop, maintain, and post workforce schedules for assigned units in accordance with collective agreement requirements and established timelines.
  • Ensure scheduling practices comply with seniority provisions, overtime rules, union agreements, and operational needs.
  • Coordinate staffing coverage for absences including sick calls, vacations, bereavement leave, leaves of absence, and other staffing vacancies.
  • Maintain and update schedules, rosters, shift assignments, and employee availability records.
  • Schedule employees within workforce management systems and ensure staffing records remain accurate and up to date.
  • Review and verify employee time and attendance records to support payroll accuracy and resolve discrepancies as required.
  • Enter and maintain approved vacation, bereavement, and other leave information within scheduling and timekeeping systems.
  • Maintain attendance records, employee availability, shift exchanges, and leave tracking documentation.
  • Communicate schedule changes, shift assignments, staffing updates, and approved leave requests with employees and operational leaders.
  • Liaise with supervisors, managers, Human Resources, Payroll, and Labour Relations to address scheduling concerns and support collective agreement administration.
  • Support workforce planning activities during peak operational periods, holidays, and special projects.
  • Create, maintain, and update scheduling forms, tracking tools, reports, and other supporting documentation.
  • Assist with the implementation and optimization of scheduling and workforce management processes and systems.
  • Maintain the confidentiality, accuracy, and integrity of employee, scheduling, attendance, and payroll-related information.

  • Ability to manage competing priorities in a fast-paced environment while maintaining a high level of accuracy.Ability to handle highly sensitive and confidential information with professionalism and discretion.
  • Post-secondary education in Business Administration, Human Resources, Payroll, or a related field is considered an asset.
  • Experience working within a unionized healthcare environment is strongly preferred.
