Job description

Join Our Dynamic Team As a Sales and Executive Admin!

Application Dates : March 25th to April 7th

Start Date : Mid to end of April

Hourly Wage : $22 - $26 per hour, based on experience and skill sets.

Schedule : This is a part-time role with primary hours Monday through Friday during office hours , 10 to 15 hours per week to start, with the ability to expand the role with proficiency and initiative.

Location : Primarily remote , with occasional meetings and training in the office at 11769 40th Street SE, Calgary, Alberta.

  • Customer Service Excellence and CRM badass : Ability to communicate professionally and efficiently while tracking interactions and scheduling various follow-ups.
  • Digital) Paperwork Ninja : Systems in place to keep things organized, on top of multiple tasks at a time, with extremely diligent follow-up. We are very digitally forward, and tech skills are a significant asset.
  • Sales Support : Self-starter with creative ideas on how to engage various audiences. Ability to quote and support accounts receivables, understand and support numerous logistical details, and proactively get customer information.

Responsibilities :

  • Provide administrative support to the sales team and CEO, including scheduling, correspondence, and document preparation.
  • Assist the sales team with lead generation, follow-ups, and customer relationship management.
  • Maintain and update records in Microsoft Dynamics (experience with Dynamics is a plus!).
  • Process sales orders and invoices and handle basic financial administrative tasks.
  • Comfortable with accounts receivable follow-up and process for staying on top of communicating with key account holders.
  • Provide customer service support as needed and efficiently maintain and manage the generic company inbox.
  • Maintain confidentiality and professionalism in handling sensitive company information and the CRM database.
  • Create and maintain sales documentation and templates, communicating with both the marketing and sales teams.
  • Manage calendars, organize event logistics, gather key details and prioritize multiple tasks effectively.
  • Provide backup support for other team members when needed.

What We're Looking For :

  • Experience matters! At least 3 years in sales support, executive administration, or a similar role.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and CRM systems (Dynamics experience is a strong plus!).
  • Excellent organizational skills with a keen eye for detail.
  • Strong communication skills – both written and verbal. Good at communicating with the team and keeping required parties in the loop. Diligent with customer and event details, communicating efficiently.
  • A self-starter with the ability to multitask and work independently.
  • Tech-savvy with the ability to adapt to new technologies and keep outstanding digital records.
  • A team player with a positive, can-do attitude.
  • A passion for candy and a good sense of humor (not required, but definitely a plus!).
