This position plays a key role in the functionality of the Sales Department and will be responsible for the day-to-day administration of the department. The Sales Coordinator will coordinate with other departments within the hotel to ensure the distribution of pertinent information and ensure an orderly working environment. Maintain current sales and promotional literature and have a complete knowledge of the hotel's services and facilities.

Duties and Responsibilities :

  • Assists Sales Team in Group Proposals, Contracts and blocks in Opera as required.
  • Support In house Events / Groups.
  • Process month-end commissions and assist Sales team in reservations as needed.
  • Take ownership once group Rider is received and communicate the tasks with each department.
  • Qualify general inquiries, respond personally, and direct to appropriate sales person.
  • Respond to inquiries from established and prospective customers in the absence of direct sales personnel.
  • Guided telemarketing duties as required.
  • Handle general inquiries onsite inspections when requested.
  • Ensure prompt and courteous service is extended to both internal and external customers.
  • Manage corporate gifting programs during site inspections and business trips.
  • Prepare and disseminate month-end production reports and submit to DOS for review.
  • Attend all sales meetings.
  • Assist in guided special projects for the department.
  • Provide secretarial duties as required (i.e. typing, filing, etc. to assigned sales personnel).
  • Perform secretarial and personal assistant duties for the General Manager.
  • Schedule meetings and special events for the General Manager.
  • Maintain confidentiality and privacy of company and co-workers, privileged communications, and records.

Requirements :

  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Ability to work well in a fast-paced environment.
  • Proven experience as a Sales Coordinator or hotel experience.
  • Word and Excel, computer literacy required (Opera and Sales and Catering Software experience a strong asset).
  • Must be eligible to work in Canada.
