CLIENT RELATIONS AND SALES COORDINATOR

Contract Type: 18-Month Contract (Maternity Leave Coverage)

Location: 80 Portland St., Toronto, ON M5V 2N2 or Hybrid/On Site

Since 1993, we’ve partnered with developers to strategically position their projects, leveraging data-driven insights and innovative strategies to achieve and exceed sales targets. Our expertise includes market analysis, product positioning, pricing strategy, and tailored marketing solutions, ensuring success for our clients.

Market Vision Real Estate is seeking a detail-oriented and proactive Client Relations and Sales Coordinator . T his is an 18-month contract role with a strong potential for a permanent position following the contract period, subject to business needs and performance.You will provide essential administrative and client-facing support within the company. This is an exciting opportunity to be part of a fast-paced, dynamic team where you will contribute to high-impact sales, marketing, and operations initiatives for some of Toronto’s leading real estate developments.

WHAT YOU’LL DO

As a Client Relations and Sales Coordinator, you’ll play a pivotal role in the success of our developer client’s project. Your responsibilities will include, but are not limited to:

  • Administrative Support:Assist with daily administrative tasks, including managing correspondence, organizing project files, maintaining records, and supporting overall office operations.
  • Client Service & Communication:Serve as a key point of contact for purchasers, agents, and clients—responding to inquiries professionally and efficiently while ensuring a high level of client satisfaction.Assist with the timely collection and updating of purchaser information and documentation to maintain accuracy and compliance throughout the process.
  • Project Coordination:Work collaboratively with cross-functional teams including operations, sales, and marketing to help execute and maintain project timelines and deliverables.
  • Legal Document Preparation:Assist in the organization, preparation, and review of legal documents related to new home sales such as agreements, FINTRAC and amendments. Accuracy and confidentiality are critical in this function.
  • Data Management & Research:Conduct data entry and assist in market research and analysis to support project reporting and decision-making.
  • Report Creation:Prepare and maintain daily and weekly project reports, activity reports, master databases, and status updates for both internal tracking and client-facing use.
  • General Support:Take on ad hoc duties and assist other team members as needed in a fast-paced, ever-changing environment.
  • Site Visits & On-Site Support: May be required to attend site offices or project locations from time to time, depending on project needs and timelines. Flexibility and professionalism in adapting to on-site environments is essential.

WHAT YOU’LL BRING

  • Proficiency in Microsoft Outlook, Excel, and Word; experience with mail merge is considered an asset.
  • Strong verbal and written communication skills; professional and personable in all client interactions.
  • Ability to produce accurate, detail-oriented work, particularly when handling legal documents and reports.
  • Organized and dependable with a demonstrated ability to manage multiple tasks and deadlines.
  • Post-secondary education in Business, Administration, Real Estate/Development, or related field (or equivalent experience).
  • A strong work ethic, positive attitude, and the ability to thrive in a high-volume, dynamic environment.
  • A collaborative mindset and enthusiasm for contributing to a positive, team-oriented work culture.
  • Willingness to participate in team-building efforts and foster strong working relationships with colleagues across departments.
  • Experience in Pre-construction real estate or real estate development is a strong asset, but not a requirement.
