Job Title: Sales Coordinator

Language Requirement: Bilingual (French & English)

Location: Hybrid (2x in office in Montreal)

About the Role:

We are seeking a dynamic and detail-oriented Sales Coordinator to support our Sales Director and client delivery teams in a fast-paced, high-volume consulting and technology services environment. The ideal candidate is bilingual, highly organized, tech-savvy, and brings a client-first mindset to everything they do. Experience in marketing or communications is a strong asset as you'll play a key role in crafting presentations, coordinating events, and supporting brand-aligned sales initiatives.

Key Responsibilities:

  1. Executive & Sales Team Support: Provide operational and administrative support to the Sales Director and client leads, including scheduling, meeting coordination, and follow-ups.
  2. Client System Management: Maintain client platforms such as VMS tools (e.g., Fieldglass, Beeline) and CRM systems (e.g., Salesforce); ensure data accuracy and timely updates.
  3. Presentation & Proposal Development: Assist in the design and customization of sales presentations, proposals, and RFP/RFI responses, ensuring high-quality, brand-aligned output.
  4. Marketing Support (Asset): Collaborate with marketing to coordinate client communications, assist with social media, event branding, email campaigns, and internal newsletters.
  5. Event Planning: Organize client-facing events (e.g., QBRs, appreciation events) and internal team initiatives (e.g., kickoffs, Lunch & Learns, offsites).
  6. Client Onboarding & Documentation: Support onboarding of consultants and clients, coordinating paperwork, credentialing, and internal documentation.
  7. Meeting Prep & Pipeline Tracking: Coordinate recurring meetings, manage agendas, take minutes, and follow up on action items; track sales pipeline and revenue forecasts.
  8. Contract Lifecycle Management: Monitor renewals, amendments, and compliance tasks across accounts.
  9. Cross-Functional Liaison: Serve as a communication hub between sales, marketing, recruiting, finance, and external client stakeholders.
  10. Process Optimization: Identify opportunities to enhance sales workflows and streamline internal coordination.

Qualifications:

  • 2–4 years of experience in sales coordination, client services, or executive support within a consulting, staffing, technology, or professional services firm.
  • Strong proficiency in Microsoft Office (especially PowerPoint and Excel); knowledge of Salesforce, VMS platforms, or marketing tools (e.g., Canva, HubSpot) is a plus.
  • Bilingual (French and English), with excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage competing priorities in a high-pressure environment.
  • Comfortable working with senior leaders and managing client-facing responsibilities.
  • Proactive, self-starter mindset with a collaborative, team-oriented approach.
  • Some experience in marketing, communications, or branding is a strong asset.

Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law, Vaco believes that the following salary range reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure.

Salary Range for this role: $45,000 CAD - $50,000 CAD
