Job summary

Shawenim Abinoojii, a Southeast First Nations-led nonprofit, seeks an SAI Office Assistant in Winnipeg, MB to be the initial point of contact and manage reception, calls, and mail. The role supports staff and ensures a professional front desk environment.

The position requires strong customer service, multitasking, and MS Office proficiency, with a focus on confidentiality and Indigenous cultural understanding. Benefits include pension, benefits, and parking at the on-site location.

Qualifications

  • Post-secondary education in Office or Business Administration is an asset.
  • Minimum of one year of related Office Administration experience or related experience.
  • Excellent customer service skills are required.
  • Proficient in MS Office Suite (Word, Excel, Outlook) and office equipment.
  • Excellent interpersonal skills and the ability to multitask in a fast-paced environment.
  • Strong organizational skills, attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Must guard and respect confidentiality.
  • Knowledge of Child and Family Services sector is an asset.
  • Understanding Indigenous perspectives and First Nations cultures is encouraged.

Responsibilities

  • Open and close the office at the start and end of each business day (8:30 AM–4:30 PM).
  • Monitor front door and screen visitors as appropriate.
  • Receive clients, visitors, and staff and direct them accordingly.
  • Maintain sign-in/out sheet for visitors.
  • Answer main telephone line, screen calls and take messages as required.
  • Assist staff with acquiring car seats for children.
  • Keep office whiteboards and bulletin boards tidy, dated and current.
  • Support special projects as required.
  • Maintain a tidy appearance of the office entrance, reception area and bathrooms.
  • Prepare, document and distribute internal and external correspondence, including email and standard mail.
  • Ensure all correspondence, including cheques, are signed upon pick up.
  • Receive, record and distribute incoming/outgoing mail.
  • Maintain postage machine and courier services.
  • Monitor the SAI reception email account.
  • Maintain office supplies inventory.
  • Complete administrative duties including copying, scanning, faxing and data entry.
  • Communicate effectively with team members to facilitate smooth operations.
  • Handle confidential information with discretion.
  • Other duties as required.

OVERVIEW:

Reportingto the Supervisor, Executive Assistant, the SAI Office Assistant is the firstpoint of contact for Shawenim Abinoojii Inc., ensuring a warm and welcomingatmosphere and first impression of the organization.The SAI Office Assistant will greet andreceive clients, visitors and staff in person, via telephone or electroniccommunication, and direct them appropriately.

KEY RESPONSIBILITIES:

  • Demonstrate knowledge and/or understanding of Indigenous perspectives, First Nations culture and traditional philosophies.
