Job summary

Cascadia Liquor is seeking a Retail Operations Coordinator to support day-to-day operations, coordinate health & safety initiatives, and manage procurement across Cascadia Liquor and Flight Cannabis. On-site position in Vic West, full-time with Mon-Fri hours, offering generous benefits.

You will oversee SOPs, liaise with store teams and support offices, and help drive reporting, maintenance, and guest feedback analysis to improve performance across locations.

Qualifications

  • Post-secondary degree or diploma in business administration or related field
  • 2+ years’ experience in a retail environment is considered an asset
  • Experience in overseeing and maintaining operations manuals or similar documentation
  • Familiarity with Health & Safety standards and experience coordinating JHSC meetings preferred
  • Adaptable, flexible, able to work collaboratively and independently and responsive to a dynamic and fast-paced environment
  • Excellent organization, time and task management skills
  • High level of attention to detail
  • Ability to develop and maintain productive professional relationships
  • Strong verbal and written communication skills
  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook)
  • Good judgement, professional and discreet in terms of company and employee confidentiality
  • Valid driver’s license, reliable transportation, and ability to travel between store locations from time to time
  • Knowledge of BC liquor and/or cannabis regulations is a strong asset

Responsibilities

  • Retail Operations Support
  • Support the execution of operational programs, brand standards, and promotional initiatives across both brands
  • Support the coordination and rollout of operational projects and initiatives across store locations, including timelines, communications, resources, and follow-up
  • Oversee and maintain the operations manuals for both brands, ensuring all SOPs are current and communicated to store teams
  • Act as a liaison between store teams and support office departments to ensure consistent communication
  • Coordinate logistics for meetings, store visits, and project-related activities
  • Assist with the creation, editing, and distribution of internal communications, SOPs, and job aids
  • Maintain records, documents, and reporting tools related to compliance, operations, and performance tracking
  • Collect and analyze guest feedback to identify areas for improvement and share with the Senior Manager, Retail Operations
  • Being part of a team of high achievers who care about the team, guests and company they represent
  • Such other duties as are customarily performed by one holding the position of Retail Operations Coordinator
  • Such other and unrelated duties as may be assigned from time to time by the Employer
  • Coordinate routine facilities maintenance and service requirements across store locations, including HVAC, refrigeration and coolers, window cleaning, floor cleaning, and other related services
  • Maintain current vendor information and service schedules
  • Track maintenance work being completed in stores and support follow-up as requiredCommunicate with store teams, vendors, and the Senior Manager, Retail Operations regarding facilities and maintenance needs
  • Lead the coordination of Health & Safety initiatives across all locations
  • Administer health & safety program & reporting including submitting WorkSafeBC claims, return to work administration, and updating Health & Safety Toolkit
  • Maintain documentation related to incident reporting, workplace inspections, and corrective actions
  • Coordinate Joint Health & Safety Committee (JHSC) meetings, ensuring minutes and follow-ups are tracked
  • Support WorkSafeBC compliance through policy updates and internal communication
  • Assist in the development and rollout of safety-related training and engagement initiatives
  • Assist the Head Buyer with monthly reporting, promotions tracking, vendor reconciliation and pricing audits
  • Coordination with vendors to obtain product information, promotional assets and supporting materials
  • Proof monthly promotional materials and product data for accuracy
  • Maintain product listings, pricing and availability across third-party delivery platforms and Shopify
  • Organize and maintain ongoing procurement files
  • Communicate display programs with merchandising team and store managers
  • Support the coordination of buying calendars, seasonal product timelines, and supplier-related communications and appointments
  • Support the merchandising team with product, pricing, display and planogram audits as required

Retail Operations Coordinator

Job Purpose: As the Retail Operations Coordinator, you will support the effective day-to-day operations of Cascadia Liquor and Flight Cannabis by coordinating key operational programs, facilities and maintenance activities, Health & Safety initiatives, and administrative tasks, while providing reporting and reconciliation support to the Senior Manager, Retail Operations and the Head Buyer.

Position Details: This position is full-time (40 hours per week). Working hours Monday to Friday. This is an on-site position at our beautiful office is in Vic West, conveniently located close to Galloping Goose.

  • Support the coordination of buying calendars, seasonal product timelines, and supplier-related communications and appointments
  • Support the merchandising team with product, pricing, display and planogram audits as required
Required Education, Skills, and Qualifications:
  • Post-secondary degree or diploma in business administration or other related field or an equivalent combination of education and related experience
  • 2+ years’ experience in a retail environment is considered an asset
  • Experience in overseeing and maintaining operations manuals or similar documentation
  • Familiarity with Health & Safety standards and experience coordinating JHSC meetings preferred
  • Adaptable, flexible, able to work collaboratively and independently and responsive to a dynamic and fast-paced environment
  • Excellent organization, time and task management skills
