Job summary

Douglas College is seeking a Records Specialist to maintain student records, process registrations and requests, and safeguard confidential information. You will troubleshoot issues and interpret policies while delivering exceptional customer service.

This full-time role supports learners, faculty, and staff in a dynamic post-secondary environment. Ideal candidates will have a Diploma in a related field and at least two years of relevant experience, plus familiarity with Banner.

Qualifications

  • Completion of a Diploma-level program in a related field.
  • Minimum of two years' relevant post-secondary experience.
  • Experience with student information systems (e.g., Banner) and records processes.
  • Ability to work flexible hours and handle confidential information.

Responsibilities

  • Maintain accurate and timely student records.
  • Process registrations and records requests.
  • Troubleshoot registration issues and interpret policies.
  • Protect confidentiality and provide excellent service.

The Opportunity

As a Records Specialist you are responsible for supporting Douglas College learners through the accurate and timely maintenance of student records, processing registration & records requests, and by safeguarding confidential information. Records Specialists provide critical support to students, faculty, and staff by troubleshooting complex registration issues, interpreting policies and procedures, and delivering exceptional customer service. As a self-starter who can work both independently and as part of a team, the Records Specialist uses strong administrative and data management skills to accurately enter, update, and manage a variety of student records, while ensuring compliance with institutional requirements.

  • Completion of a Diploma level program in a related field at a recognized post-secondary institution and a minimum of two-years relevant experience in a post-secondary environment, or an equivalent combination of education, training and experience.
  • Minimum of 2 years of direct experience in service-centered role, preferably in a post-secondary environment; a proven ability to provide exceptional client focused service in a fast-paced environment is required.
  • Good working knowledge of student information systems (such as Banner) and registration and records functions, with the ability to identify and problem solve errors and resolve issues.
  • Experience with interpreting, applying and advising on policies and procedures.
  • Sound and current knowledge on best practices in student records, registration, enrolment or registration services, or comparable work experience.
  • This full-time, regular position is available starting October 5, 2026.
  • Hours of work will typically be scheduled Monday to Friday, between 8:30am - 4:30 pm.
  • This position is required to work a flexible schedule based on operational needs
  • Shift days and times may change depending on operational needs
  • Evening and occasional weekend work may be required.
