Job summary

Responsibilities

  • Coordinate and schedule meetings, appointments, and calendars for senior leadership.
  • Perform basic filing and record keeping; maintain up-to-date documents.
  • Provide professional customer service via phone, email, and in person; route requests to departments.
  • Plan and support events and staff functions including logistics and catering.
  • Perform general office housekeeping to maintain a clean work environment.
  • Process invoices; ensure accuracy, documentation, billing, and follow-up.
  • Handle accounts payable; ensure timely payment and accurate records.
  • Distribute interoffice mail and courier deliveries; ensure timely delivery of communications.
  • Maintain and organize driver paperwork and logs.
  • Assist with data entry and administrative reporting for operations, drivers, and fleet.
  • Support day-to-day office operations by ordering supplies and coordinating with vendors.
  • Act as first point of contact for visitors; provide welcoming front desk presence.
  • Perform other duties as assigned.

Job description

We have an exciting opportunity for a Receptionist to join our Administration team, reporting to the General Manager on a 12-month contract, with a possibility of extension. The successful candidate must be an enthusiastic and motivated self-starter able to work with minimal supervision.

JOB DUTIES
  • Coordinate and schedule meetings, appointments, and calendars for the senior leadership team, ensuring efficient time management and prioritization of commitments.
  • Perform basic filing and record keeping, including organizing documents and maintaining up-to-date records for easy access.
  • Provide professional customer service by responding to inquiries via phone, email, and in person, addressing concerns promptly and directing requests to the appropriate departments.
  • Plan and support company events, meetings, and staff functions, including logistics, catering, communications, and on-site coordination
  • Perform general office housekeeping duties to maintain a clean, organized, and professional work environment.
  • Process incoming and outgoing invoices, ensuring accuracy, proper documentation, timely billing, payment tracking and follow-up.
  • Handle accounts payable tasks, including paying invoices in a timely manner and maintaining accurate financial records.

QUALIFICATIONS
  • Customer focused, professional and friendly personality.
  • Proficient use of Microsoft programs; MS Word, Excel, etc.
  • Above average key boarding skills.
  • Strong organizational and communication skills, verbal and written.
  • Self-motivated, can work with minimal supervision.
HOURS

Full - time Monday to Friday from 7:30 am to 4:00 pm, can change based on operational needs.
