Job summary

University Health Network in Toronto is seeking a Project Coordinator, Operations within the Radiation Medicine Program to support large-scale capital projects, quality improvements and strategic initiatives.

Reporting to the Senior Manager of RMP Operations, you will coordinate project management, change management and communications with internal teams and external vendors, ensuring timely, clear updates and successful Go-Live activities.

Qualifications

  • Bachelor's Degree in Health Sciences, Business, or related discipline.
  • Minimum of 3 years experience in project coordination.
  • Proven proficiency with change management methodologies (e.g., PROSCI).
  • Experience in project communications, including slide decks and SharePoint.
  • Strong attention to detail, time management and organizational skills.
  • Ability to work with minimal supervision on complex tasks.
  • Experience building cross-functional collaboration across multidisciplinary teams.

Responsibilities

  • Coordinate, support and/or lead project management, communication and change management for large-scale capital projects in collaboration with stakeholders.
  • Coordinate RMP committees and working groups: agendas, materials, minutes, action tracking.
  • Monitor and report on progress; identify delays or changes for review.
  • Prepare program status reports, timelines and stakeholder maps.
  • Facilitate clear communication between internal teams and project managers.
  • Support Go-Live preparations and post-Go-Live activities.

Position Summary

Working under the direction of the Senior Manager of RMP Operations, the “RMP Project Coordinator, Operations” will support project management and change management for large-scale capital projects, quality improvement projects and strategic initiatives at the Radiation Medicine Program; in collaboration with FM-PRO, UHN Digital, Radiation Safety and other UHN departments as required. Additionally, this position will provide project and committee coordination support across a variety of planning and implementation activities.

Duties
  • Coordinate, support and / or lead project management, communication and change management activities related to a large-scale capital- and new technology- implementation in collaboration with the vendor, FM-PRO, UHN Digital, Radiation Safety, and internal RMP stakeholders.
  • Coordinate related RMP committees and working groups including (but not limited to):
    • Preparing relevant agendas
    • Preparing presentation materials
    • Documenting meeting minutes
    • Support tracking of actions, risks, issues, and decisions, working group outputs and dependencies and escalation pathways when timelines or deliverables are at risk
  • Monitor, document, and report on progress of project management, change management and communication plans. Identify delays or changes for review.
  • Prepares reports and other key documents required to meet program objectives, i.e. stakeholder map, program status reports, timelines, etc.
  • Support communication flow between internal teams and project managers of other departments (as appropriate), ensuring clarity of dates, materials, and expectations
  • Support and coordination on Project Go-Live preparations and pre-/post- Go Live activities.
  • Other duties/projects as assigned.
  • Bachelor's Degree in Health Sciences, Business, or related discipline.
  • Minimum of 3 years experience working in project coordination, with direct experience in project management.
  • Demonstrated proficiency with change management methodologies and tools (PROSCI, etc.), and direct experience in change management
  • Experience executing a variety of project communications activities, including development of content (i.e. slide decks, Share Point, etc.), liaising with stakeholders, and supporting overall communications planning.
  • Demonstrated high attention to detail, time management, and organizational skills
  • Able to work with minimal supervision on complex tasks.
  • Able to work with multidisciplinary teams in a positive and productive manner.
  • Excellent writing skills, with experience tailoring content to your audience.
  • Ability to use a solution-oriented, team approach in solving problems.
  • Advanced skills using Microsoft Office Suite, including Outlook, Teams, PowerPoint, Excel, Project (or equivalent).
  • Direct experience developing Microsoft Share Point preferred.
