We are seeking a Proposal Coordinator / MTO Proposal Specialist to join our team. The successful candidate will assist in the development and submission of proposals for engineering consulting projects with a focus on the Ministry of Transportation (MTO) opportunities. The role involves ensuring compliance with client requirements and company standards related to proposal quality and excellence.


About the Role

  • Assist in the proposal development process from start to finish, including planning, organizing, and managing all proposal activities.
  • Collaborate with technical teams and other stakeholders to gather necessary proposal response information.
  • Coordinate proposal resources, including writers, graphic designers, and subject matter experts.
  • Develop and maintain proposal schedules, ensuring timely submission.
  • Produce, review and edit proposal content for clarity, quality, and consistency.
  • Conduct final quality checks to ensure that all proposals meet RFQ or RFP requirements.
  • Understand fully Ministry of Transportation of Ontario processes and requirements.
  • Assist in decision-making regarding proposal strategies, resource allocation, and final content.
  • Ultimately, ensure compliance of the overall proposal response meeting all mandatory requirements.

What do we need from you

  • Bachelor's degree in Engineering, Business Administration, Marketing, or a related field.
  • Minimum of 5 years of experience in proposal coordination, preferably with experience in public transportation and infrastructure projects.
  • Minimum of 1 year of experience with Ministry of Transportation of Ontario guidelines, processes and requirements.
  • Strong organizational skills.
  • Ability to manage multiple proposals simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Attention to detail, quality-oriented approach and rigorous mindset.
