The Opportunity

Dillon Consulting is seeking motivated candidates to fill several positions for a Proposal Coordinator within our Business Development and Sales (BDAS) group. This addition is part of an exciting new approach to managing our proposal sales operations.

As a key member of our Proposal and Sales Team, you will work closely with Business Units and technical experts to create impactful proposal submissions. Responsibilities include managing all aspects of proposal submission, content generation using Dillon’s proposal management software, and guiding technical staff through our proposal processes. This role suits someone who thrives in a fast-paced environment, is highly organized, and enjoys collaboration across teams.

Responsibilities
  • Coordinate with Business Units and technical teams to develop high-quality proposals from start to finish.
  • Utilize proposal management software and collaborate with the Proposal Content Specialist.
  • Review opportunity documents for compliance and requirements.
  • Prepare marketing and qualification materials, and coordinate graphics and layout with Marketing.
  • Ensure deadlines are met through effective information flow and review processes.
  • Format, edit, print, and distribute proposal documents.
  • Build internal relationships to facilitate timely responses and maintain quality standards.
  • Implement quality control to meet proposal and corporate standards.
  • Monitor potential project opportunities using internal systems.
  • Participate in debriefings for continuous improvement.
Qualifications
  • Minimum two years’ experience in proposal and tender preparation.
  • 3-5 years of administrative experience or equivalent education/skills.
  • Post-secondary education in administration, marketing, business, or communications is an asset.
Desired Skills and Experience
  • Advanced skills in Microsoft Word and complex document formatting.
  • Proficiency in Microsoft Excel.
  • Strong writing, editing, and communication skills.
  • Attention to detail and high accuracy.
  • Understanding of financial terms, budgets, and schedules.
  • Excellent organizational and time management skills.
  • Experience in professional services (environmental, engineering, planning) is an asset.
  • Experience with proposal management software, Adobe Creative Suite, Microsoft Project, and APMP certification are assets.
