Job description

Working out of our Mississauga facility, the Proposal Coordinator will be responsible for conducting and tracking online bid searches to identify opportunities for Request for Proposal (RFP), Request for Tender (RFT), etc., that align with our lines of business. Responsibilities include downloading and analyzing procurement documents, preparing executive summaries for management review, developing proposal content, coordinating with District Managers, Sales, and Operations to solicit content, and managing the proposal submission process. The role also involves supporting surety requests, managing after-award documentation, and tracking active and pending submissions.

Key Responsibilities:
  1. Meet deadlines for questions, responses, and submissions, including contract execution deadlines.
  2. Maintain a reporting system for upcoming RFPs with relevant information.
  3. Assist with clarification questions between clients and GFL.
  4. Follow-up with management or key contacts regarding proposal responses.
  5. Collaborate with Corporate, Group, and Division management, sales managers, sales representatives, and operations to gather information for proposals.
  6. Request Certificates of Insurance (COI) and Workers Safety Insurance Board (WSIB) documentation.
  7. Assist in maintaining internal documentation such as policies, procedures, COI, and WSIB.
  8. Maintain document templates.
Knowledge, Skills, and Key Competencies:
  • Post-secondary education in business or a related field is preferred.
  • Prior experience in the waste industry is advantageous.
  • Ability to prioritize work effectively.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Capable of working under stressful circumstances with shifting demands and deadlines.
  • Excellent organization and time management skills.
  • Proficiency in MS Word, Excel, and PDF formats.
  • Valid driver’s license.
